Learn how to export your docs, invite others, and manage sharing settings with secure permissions.

Exporting Docs in Different Formats

Exports are great if you need a copy of your doc to share externally or archive offline. You can choose from the options to export like PDF, HTML, Markdown, Embed Code, Embed Link or Video.

  • Export your Doc by clicking the Export button in the top-right and selecting a format.

  • Wait for the download to complete before closing.

  • Click "Save as" in the bottom-right corner when your download is ready.

NOTE: Large Docs with media may take longer to export.

Inviting Others to your Knowledge Base

Bring teammates, clients, or partners into your knowledge base with different access levels.

  • Invite people to your knowledge base from the Share → Invite tab and assign them roles: Full-Access, Writer, Reader, or Guest.

Managing Permissions in your Knowledge Base

Use managing permissions to ensure the right people have the right access, keeping sensitive docs secure while enabling smooth collaboration across your workspace.

  • Set access at the workspace level for defaults or use individual access for exceptions.

NOTE: Individual Access always overrides Workspace roles.

Changing & Removing Access to your Knowledge Base

Change access when someone’s responsibilities shift, allowing you to upgrade their permissions for more control or reduce them if less involvement is needed.

Tip: Downgrade access instead of removing if they’ll collaborate again later.

Configure Sharing in your Knowledge Base (SEO & Invite-Only)

Use sharing configuration to decide whether your docs should be public and searchable on Google or private and invite-only for restricted audiences.

Tip: Enable indexing for public help docs and guides.
NOTE: Turning on Invite-only disables indexing automatically.

Link Sharing to your Knowledge Base

Use link sharing to quickly generate either an internal link for team collaboration or a public link for customer-facing documentation that’s easy to distribute.

Tip: Public links are best for customer-facing FAQs and Docs.
