Renewing or Transferring Your Account

Learn how to renew your account for a new event cycle or transfer your license to another organization.

Renewing Your Account

When it's time to renew your account, the ZAPP team will email you an electronic renewal form to get the process started. This usually happens after your event ends (or if you run multiple shows, after the last show ends).

If you want to request a renewal, email ZAPPhelp@wearecreativewest.org or submit a ticket. Choose "Renew Your Account" when filling out the form.

Account Managers can also request renewals directly in ZAPP. Go to Profile > Account Details > Contract History and click the Request Renewal button.

Completing Your Renewal ☑️

ZAPP will send a renewal agreement through PandaDoc, our e-signature platform. You will need to complete the required fields and electronically sign. We'll process it on our end, make a copy of your current application, and open it up to you so you can edit it for your next event.

Things to keep in mind:

  • Contact us if you need to make changes (e.g., adding a show or changing the agreement signer).

  • You can accept applications from artists and non-artist vendors. See Building Your Application for instructions or email the ZAPP team if you want separate applications for each group.

  • To open your application to only a select group of artists, try our Invitational-Only setting, a feature that allows to make your application accessible to only those with a code you will provide.

Processing Time ⏲️

We typically process renewals within 1-2 business days after you submit. Once your new event is ready, we'll send you an email so you can get started.


Transferring Your License

You may need to request a license transfer if either of the following apply to your event:

  • Another organization needs to collect and deposit remittance checks for your show revenue collected on ZAPP, or

  • Another organization will fully manage the account or event.

Transferring your license will ensure the new managing organization will have access to all of the event’s historical data on ZAPP.


⚠️ Important: Licenses cannot be transferred mid-contract. If you need to transfer your licensee, please email zapphelp@wearecreativewest.org so we can start the process.
