Understanding Event Statuses 🚦
Not Published: Your event has been renewed but it is not visible to applicants. Once all requirements have been met on your application, you’ll see the Publish Event button.
Pending: We have not yet received your payment and your application cannot be published.
Published: This status means your event details and application are published. Your event details will be visible immediately and your application will be visible to applicants starting on your Accept Applications date.
Publishing Checklist 📝
Use this checklist before you request to publish to make sure everything is set up properly.
Event Information
Is your logo sized optimally for web and mobile? See our logo sizing guide.
Is your Accept Applications date today or in the future?
Are your Event Dates correct and updated for the current year?
Did you check your text for old dates and deadlines?
⚡ TIP: Hit Command + F (Mac) or Ctrl + F (PC) and type in last year (e.g., 2025) to highlight all areas where that term exists.
Does your legal agreement include a refund and cancellation policy?
Have you previewed your event information and application questions?
Jury Details
Have you completed the required fields in your Jury Details page? Learn more.
Application Editor
Do you have at least one medium category created?
Have you updated your questions based on this year's event? Remove references to old dates, products, and/or services that are no longer relevant.
Product Editor
Have you checked the price and quantity of all products?
Is your Jury/Application fee active?
If applicable, are your early-bird and late fees set up with the correct dates and amounts?
Request to Publish 📤
When your application is ready to go, follow these steps to launch:
Navigate to the Event Management > Event Editor page.
Click Publish Event at the top of the page.
The ZAPP team will process your request and send you a link so you can publicize your application. Artists will not be able to apply until your Accept Applications date.
