These documents were typical business receipts that came from all over the world. The receipts were written in many different languages (like English, Chinese, German, and Spanish), and using different currencies.

Instead of an employee manually reviewing each one, the AI system automatically processed them. The process answered critical audit questions and flagged “red flags”.

The key data points and compliance issues extracted include:

  • Financial Totals and Calculations: Identify the employee, vendor, and expense type. The system calculated the average nightly rate for a hotel room, excluding fees and taxes.
  • Policy Violations: The system flagged expenses that exceeded corporate limits, such as a $150 average nightly hotel rate.
  • Non-Expensable Items: Identify and flag specific items an employee shouldn’t have expensed, like deodorant.
  • Alcohol & Tipping: Determine if alcohol was purchased and tracking excessive tip amounts.

It shows where all expenses occurred globally, color-coded by employee. All we did was choose a GPT in Grooper and type in this prompt into Grooper: 

Using the latitude and longitude, create an interactive map of where these expenses occurred. Color code the pins with a different color per employee. Put an exclamation point on any expense with issues.”

As you can see, pins were marked with an exclamation point if an issue was found. And you can click in on any of these colored pins to get a more detailed breakdown of where the charges occurred. You can see:

  • The exact place where charges occurred
  • The costs
  • The person responsible
  • Why a charge was flagged

For example, if a nightly hotel rate significantly higher than the local average (a stay at The Venetian in Las Vegas was flagged as an expensive issue).

This dashboard was created in Grooper by telling it “Look at every employee, all their hotel expenses and show me the average nightly spend is for hotel rooms.

In this dashboard, you can see highlighted employees with high average nightly rates. This immediately directs an organization’s attention to areas where employees are possibly violating corporate policies.

This type of dashboard data visualization revealed specific trends. For example, one employee, “Steve,” had 98 weekend receipts totaling $11,903.87 with 40 of those receipts being alcohol-related.

This insight is immediate and actionable.

Weekend Expenses and Alcohol Spend

This type of dashboard data visualization was created by giving Grooper’s AI Extract the prompt of “What’s the total amount within this timeframe that our employees spent on alcohol?

This interactive dashboard revealed specific trends, such as one employee, “Randy,” who totaled by far the highest expenses. He had 98 weekend receipts totaling $11,903.87. Of those receipts, 40 are alcohol-related and total nearly $3,900.

This insight is immediate and actionable.

Average Tip Percent by Employee

The dashboard provided a clear, quick view of which employees are “big tippers.” This gives compliance teams an easy way to audit for excessive tipping.
