How to Use (Step-by-Step)

Step 1- Download & Open – Click on the download button at the bottom of this page. Then you can opt to use the given Excel software to open the file. The Excel software is supported on both computer and mobile devices.

Step 2- “Enter Vehicle Data”- First, change to the “Vehicle List” tab. Complete one row for each vehicle with these fields- vehicle number, make, model, year, vehicle number, license plate, date of acquisition. Choose simple names for vehicle numbers, for example, “VAN-01,” “TRUCK-12.”

Step 3- Set Maintenance Intervals – Switch to the Maintenance Schedule tab. For each car, the list of required maintenance tasks along with their corresponding intervals is to be noted. For instance, Oil Change after 5,000 miles or Annual Inspection after 365 days. This can be performed either in mileage or time units.

Step 4- Update Current Mileage – The Vehicle List screen should be checked periodically and the current mileage updated for each vehicle. The one figure triggers all due date calculations. It should be updated weekly or after every service visit.

Step 5- Record Completed Service – Now that the service work has been completed, the Service History tab must be opened. A new entry is made for the service date, the vehicle number, the miles at the time of the service, description of the service, price, the vendor, as well as any comments made. These comments should be as detailed as possible—replaced worn brake pads, front only—instead of just brakes being worked on.

Step 6- Check Upcoming Maintenance – Look at the ‘Dashboard’ tab every week. This will automatically display which vehicles are due for a visit to the service for their next 30 days of scheduled maintenance. This gives you an opportunity to maintain the vehicle before they break down.
