Deactivating and Deleting Relatives

In this tutorial we are going to cover how, as a manager on the account, you can deactivate or delete relatives individually and in bulk.

We’re firstly going to cover how you can deactivate relative users individually on your account. This may be helpful for if you need to deactivate a relative that you know may need access to the account at a later date.

It is worth mentioning here that deleting a child’s profile on the account will not automatically delete their relative/s, so once the child’s profile has been deleted, you will have to delete the relative profile as well. 

 

There are various reasons why you might want to delete a relative account, but the most important thing to bear in mind is that they will not be able to access their account or request a reset password email unless you make them active again.

Please note that all relatives that you mark for deletion will have their status changed to ‘Awaiting deletion’. All relative accounts that are awaiting deletion will remain on the account for 90 days, but once that period is up, their profiles will be permanently deleted. Once this happens, their names will be deleted from the account as well, and any observations previously added by them will show the author as ‘Deleted relative’.

Please note, only managers on Tapestry can add, edit or delete relatives from an account. 

Managers can deactivate a relative user on the account via the Configuration menu on Tapestry. Start by selecting Configuration at the bottom of the navigation menu on the left-hand side of the screen. This will open up a further menu, from which you need to select Relatives.

In the Relatives drop-down menu, click on Manage Relatives.

Once on the Manage Relatives page, search for the relative who’s profile you want to deactivate. Once you have found their profile, click on the cog drop down, and select the option Make Inactive from the menu. page, . 

You will then be asked to confirm that you wish to deactivate this relative’s profile on your account.  You just select Deactivate to deactivate the relative’s profile.

Relatives can be deactivated in bulk on the Manage Relatives screen accessed via the Configuration menu.

If you have more than 20 relatives whose profiles you wish to deactivate in one go, you will need to change the number of items per page as explained below.

The default number of relatives listed per page is 20. You can select the number of items per page if not all the relatives you wish to deactivate are on the current page as shown below.

Once you are on the Manage Relatives screen, you can select the relatives whose profiles you wish to deactivate by checking the box next to their names. 

Once you have checked all the boxes next to the relatives you wish to deactivate, select Make Inactive and Go.

You will be shown the list of relative users you wish to deactivate before clicking Make Relatives Inactive. If you decide not to deactivate one of the relatives you can change this to Do Nothing.

You have now deactivated the relatives you have selected, but if you need to make them active again, this can be done as shown in the tutorial Reactivating Relatives.

And that’s it! You can now deactivate a group of relatives in bulk!

From the Manage Relatives page,  you can select the relative’s account that you wish to delete and this will bring up the option to set the relative’s profile for deletion from your account.

Once you have chosen the option to delete the relative, you will be presented with a screen to confirm that you are happy for the deletion to go ahead.

It is possible to restore the relatives account within 90 days of the profile being set for deletion. You can see how here

And that’s it! You can now delete any relatives individually from your account!

Once you have checked all the boxes next to the relative users you wish to delete, select Delete and Go.

You will be asked to confirm the list of relatives you wish to delete. You will be able to scroll down to check the list if you wish. You will then delete the relatives in one go by selecting Delete Users.

Once you have set these relative users to deletion, you have 90 days to reverse this action and make the relatives active again by following the steps in the below tutorial.

And that’s it! You can now delete more than one relative user profile on the account in one go!
