Task Management Overview
Manage and assign tasks in various project views to track comprehensive task details and drive progress.
Tasks in ProjectManager have several in-depth fields to track planned vs. actual hours, progress, due dates, priority, assignee and status. Use the task card to add to-do lists, tags, subtasks, attachments, resource costs and comments. Set task approvers or view task history to track changes.
Our task types include:
- Project tasks
- Summary tasks, or a task that represents a group of subtasks
- Recurring tasks that repeat daily, weekly, monthly or annually
Create and edit tasks in the list, board, Gantt, sheet and calendar views. The task list contains all tasks in one place. Task data entered in one view remains the same across views, retaining all data entered on the task card.
Task Management Introduction Video
Tasks on the My Summary Page
The My Summary section of the home view shows a high-level overview of the tasks to which you're assigned. Below the pie chart breakdown, you'll also see a list of your tasks that you can click on for additional information.

Creating New Tasks
When creating a task, the data automatically reflects across the software. Project managers can create and organize tasks on our Gantt chart while project teams can gravitate toward the kanban board or another view of their choice. Create a task using a shortcut on the keyboard or create new tasks in any project view.

We have different types of tasks that you can create, including:
- Recurring tasks that repeat on a set cadence
- Summary tasks made from a series of subtasks
- Standard project tasks
You can also view your task history and set task approvals to ensure quality. Remember, the task list has all your tasks in one location. When working on the Gantt or sheet view, only 200 tasks can be copied at once.
Understanding the Task Card
The task card across all project views is universal and allows you to edit task information in one streamlined location. Here, you can:
- Set task approvals
- Set recurrence
- Add progress, duration, assignee, due date, priority level
- Add files or comments to collaborate with your team

Note: Some task management features are only on Business and above.

Task History
If you need to see changes made to a particular task, such as the assignee, due date, priority, etc., right-click on the corresponding cell in the Gantt or sheet view. You can also lock the task to prevent anyone from editing it or set it as a project milestone.

Task Approvals
When creating a custom workflow, set specific task approvals so a task status cannot change without the right approval.
