Task List Overview

A simple yet powerful project view to manage, filter and sort project work

The task list view organizes all project tasks in a familiar list format. This is an ideal view for task execution, as a team member can use sorting and filtering to find tasks and complete work.

Use sorting and filtering to organize tasks by assignee, due date, priority, tags and more. Tasks created in this view will appear in all other project views, and data added to tasks will automatically populate the Gantt, dashboard and reports.

Tip: Click the symbol in the top right of the list view to hide completed tasks.

Accessing the List View

To get started on the list, use the left-hand menu to locate the project of your choice. Click on it and make sure your top menu bar is toggled to the "list" icon as seen below.

Adding Tasks to the List

To add a new task, click "new task" at the bottom of the current project list. To add more tasks, keep pressing enter and type another name.

Soon, you'll have a long list of tasks added. Once you add tasks to the list, you can add due dates, assignees and other information to make your task list robust.

Customizing List Columns

Once you have your tasks entered in the list, you can drag columns to new positions or add additional columns. To drag a column, click it until it becomes gray and drag it to your preferred position.

To adjust the visible columns, click the three horizontal lines on the top right of the list. If you deselect a column such as files, for example, you'll no longer see the attached file on the list. This is a great feature if you don’t need to see certain columns.

You can choose to include the following columns:

  • Done: If the task is 100% complete, it'll be indicated with a check inside the checkbox icon.
  • Assignee: Visually see who is assigned each task.
  • Status: This workflow status/board column assigned to the task will be shown here.
  • Progress: The task progress will appear as a percentage.
  • Priority: The color-coded assigned task priority level will appear. If no priority level is selected, the column will be blank for that task.
  • Due date: The date the task is due will appear here.
  • Tags: Any assigned tags will appear here. If the task has multiple tags, ellipses will appear and all tags will appear on hover.
  • Comments: The number of comments will appear next to a chat bubble icon. To see the comments, click on the task, and comments will appear on the right. If you cannot see the comments, the comments may be minimized - click the arrow icon in the top right of the task card to expand the comments section. 
  • Files: Similar to comments, the number of attached files will appear next to a paperclip icon. To see the attached files, click on the task, and the files will appear at the bottom of the task card.
  • Parent tasks: The summary task name will appear here.

Summary Tasks on the List View

If you've created summary tasks on the Gantt, you'll be able to see them on the list  (in addition to the corresponding subtasks). A summary task is indicated on the list by a triangle in the far left of the task row.

Once selected, the summary task card will display the total progress, along with the progress for each subtask. When a subtask is a milestone, this will be displayed with a diamond icon next to the open subtask icon.

Assignees are noted under the task name. If you click the “show parent tasks” button on the filter, all non-summary tasks will be hidden so that you can see the summary tasks in your project.

List Filter

You can filter the project list by clicking the filter icon in the top right. Filter the list by people, due date, progress, priority, tags and tasks. To use the filter, check the parameters that you would like to see displayed.

For example, if you'd like to see all completed tasks, select "done" under the progress filter.

List Sort

You can sort columns on the list by hovering over the column name and clicking the down/up arrow icon. On the first click, the column will be sorted by descending. On the next click, the column will be sorted by ascending.

This functionality works on the project, task name, assignee, progress, due date, priority and tags columns. When a column is sorted, an up or down arrow will appear to the right of the column indicating that the list is sorted.
