How to Invite New Team Members
Invite new team members to share notes, files, project plans and tasks so everyone is on the same page.
Our software is designed to facilitate seamless collaboration with your team, but the first step is to invite them to join! You can add new team members via import, using the Add button in the menu, or by visiting the team or users & teams pages.
Before you get started, watch our video below on how to invite users into the software.
Invite via the "+New" Button
You can add a new user from any page in the software by selecting Invite from the global add button.

Select "+new" from the left-hand navigation menu.

Click invite.

You'll need to fill in the team member’s first name, last name, email address and role. You can easily invite another person in the same pop-up or invite multiple people at once.

Select the projects that they should have access to by using the dropdown menu. If you don’t have projects created yet or don’t want the user to have access, you can give them access later.

Click send invite.

Once invited, the user will receive an email with a link to log in.
Invite via the Team or Users & Teams Page
You can easily add new team members from the team page or users & teams page.

Under the "Manage users" tab, click the "invite people" button.

You will need to fill in the team member’s first name, last name, email address and role. You can easily invite another person in the same popup or invite multiple people at once. If your edition allows for guest licenses, you can change the role on the pop-up accordingly.

Select the projects that they should have access to by using the dropdown menu. If you don’t have projects created yet or don’t want the user to have access, you can give them access later.

Click send invite.

Once invited, the user will receive an email with a link to log in.

Once you have invited your team, you can delete a user or edit their profile from the manage users page.
Tip: You can also use our keyboard shortcuts to invite a new team member by pressing "command i."
Import Team Members & Inviting Several Users
You may want to add users via import if your team is larger or if you have projects ready to import.
You can import your existing project plans using any newer version of MS Project, XML, Excel and CSV formats. We support the import of all newer versions of MS Project, including the 2019 version.
You can also simply type in several email addresses, separated by commas in the text boxt provided. To reach the screen below, simply click "+ Invite Multiple People at Once" after clicking the invite button.
Tip! Using this method will default to adding a user as a None role, which is a resource role used for planning. "None" roles can't log in to the software. If you would like the users to log in to the software, enter their email address one-by-one and select their role.
What to Do If a User's Email Is Already In Use
If you are trying to add a user and are getting a message that the user’s email address is already in use, you can follow three easy steps to find a solution.

On the manage users page, double-check to make sure they aren’t active or inactive on your account. Click the settings gear on the manage users page and uncheck the option to hide deleted people. Once unchecked, you will see both active and inactive users.

Search the user’s name to see if they are already added. If they are inactive, reactivate them by clicking the three ellipses next to their name.

If you are not able to find the user's inactive account, they may be active in another account. Please email support@projectmanager.com and we can help fix the issue.
Re-Invite Team Members
When you invite a new user to the software, they will receive an email invitation to set up their password. This email can get misplaced and it expires after one week. If you need to resend the invitation, you can do so as follows:
- Navigate to the users & teams page
- Click the ... menu beside the member
- Click the Resend Invite option
If you don't want to rely on email at all, you can:
- Navigate to the users & teams page
- Click on the member to see their profile
- Click the Reset Password button to
This will send a password reset email to the member, but it also shows you a temporary password, which you can share with the person right away.
