Users & Teams
Manage users, adjust roles, set holidays and more.
The Users & Teams page on the account menu allows you to organize users by teams, manage roles, set holidays and more. It's broken into three tabs: manage users, roles and holidays.
Accessing the Users & Team Page
To access this page, click on your profile icon in the bottom left-hand corner of the software. The account menu will pop up and you'll need to select "Users & teams"

Once on the page, you'll see a menu across the top with Manage Users, Roles and Holidays. Click on Roles to access role security and holidays to see and set holidays for people, country or global occasions.

1. Manage Users Tab
On the Manage Users tab, you'll see a list of all the users you have added with their teams, roles, emails and phone numbers listed.
How to Add a New User
Click "+Invite People" to add one or multiple people at a time.

If you want to invite a list of people at once instead of manually entering their information, click "+invite multiple people at once." You enter their email addresses separated by commas or upload a CSV with the emails. If you need more guidance, click on "guidelines."

To edit a profile, click their name and their profile popup will appear.

Editing the Manage Users Tab
You can edit the following fields on the manage users page:
- Avatar: Your avatar will appear throughout the software on comments, tasks and more. If you don’t upload an avatar, you'll be assigned a custom color.
- Name: Edit your first and last name.
- Email: You will use your email address to log into the software and get email alerts. Once you update your email address, use it to log in to the software.
- Phone: You can add or edit your phone so your users know how to reach you.
- Hourly Rate: The planned and actual resource cost on the Gantt will automatically populate once hours are allocated if an hourly rate is assigned.
- Project Access: Choose which projects this user can access, they will get Editor access by default. Most users will only see projects they own or manage, however, if you have Access All Account Data enabled for your role you will see all projects.
- Teams: You can add teams such as HR, IT, marketing, etc. so you can easily filter by teams throughout the software.
- Skills: You can add skills such as Salesforce Admin, Ruby on Rails, CAD, etc so you can easily filter by skills throughout the software
- Approver: Your timesheet approver will receive an email once a timesheet is submitted to approve or deny. You can pick a timesheet approver from the list of users on the dropdown.
- Notes: Add any notes here. These notes are visible to anyone with access to the Manage Users page.
How to Deactivate a User
While you can change a user's role or deactivate them at any time, you won't be able to remove them entirely from the software. The email address will stay stored in our system but the user won't be able to make a new account using that email address.
Once you locate the user's profile you want to delete, click the three ellipses to the right of their name and click "make inactive." Read more about how to deactivate a user.

Merge Users
If you have duplicate people in your account, you can merge them into one. Use the filter in the upper right-hand corner to determine what names appear.

Users are broken out into those with and without a login. Select the users you'd like to merge and click "merge" at the bottom. Task and timesheet data will be migrated from one user to the other immediately.
Once the fields have been added to or edited, the updates will take effect immediately throughout the software.
2. Roles Tab
The Roles tab is where you can access role security. Here, you can see the various roles established within projects and what their permissions are. You can also create a custom role.

3. Holidays Tab
On this tab, view end edit personal, country or global holidays to better keep track of the team's schedule. You can also set working hours in this tab.
