Axiom Maths is committed to safeguarding your personal information. Whenever we process such information, we will use and store information in line with both the Axiom Maths Data Protection Policy, this privacy policy and all laws concerning the protection of personal information, including GDPR. The type of personal information we collect
We currently collect and process the following information:
- Personal identifiers, contacts and characteristics of participants in our programmes, pupils and mentors, parents/carers, teachers, volunteers, partners and other stakeholders (for example, name, email address and contact details).
- Employment and academic history (for example, KS2 SATs results, A-level results, university choices and attainment and employment history as it relates to teaching and tutoring)
- Attendance and task completion data (for example, pupils’ attendance at Axiom Maths programme sessions, mentors’ completion of training and attendance at meetings/training, participants’ completion of surveys and other feedback processes). This may also include recordings of our programme sessions.
- Feedback data (for example, survey data, quantitative data from interviews and focus group and data from observations of our programmes).
- Records of criminal background checks (for example, DBS checks of Axiom Maths staff, partners’ staff and mentors).
- Staff contract information (for example, hours worked, job role and salary information).
- Financial information from our partners and schools (for example, contact details of the finance department and bank details).
- Website user stats (for example, cookies).
For staff and active participants in Axiom Maths’ programme, pupils and mentors, Axiom Maths may process special category data. This includes health and special educational needs data. To process this data, we need an additional lawful condition, which will fall under:
- Employment, social security and social protection law: processing is necessary for the purposes of carrying out the obligations and exercising specific rights of the controller or of the data subject in the field of employment and social security and social protection law in so far as it is authorised by Domestic Law or a collective agreement pursuant to Member State law providing for appropriate safeguards for the fundamental rights and the interests of the data subject.
- Explicit consent: the data subject has given explicit consent to the processing of those personal data for one or more specified purposes.
- Health or social care: processing is necessary for the provision of healthcare or treatment, or of social care.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- Delivery and management of Axiom Maths’ programmes, including the maths circles programme.
- Relationship management and communication with schools, partners, parents / carers, stakeholders and interested parties.
- Financial management of our programmes and payment of fees, grants and donations.
- Human resource management, in the case of Axiom Maths staff data.
- Measuring the impact of Axiom Maths’ activities.
If you are an active participant in one of Axiom Maths’ programmes, either as a pupil, mentor, volunteer or staff member, we also receive from, and share with, personal information, from the following sources in the following scenarios:
- Schools –We will receive pupil data from the school that our pupils attend. This will include sensitive and special category data. If this affects you, please contact your/your child’s school for more details. Axiom Maths may also receive data related to school staff, maths excellence coordinators, mentors, volunteers and pupils via the school in which they work/attend.
- Delivery partners – We will receive pupil data from our delivery partners for the pupils attending their Axiom Maths programmes. This will include sensitive and special category data. If this affects you, please contact the partner that is managing you/your child’s programme for more details. Axiom Maths may also receive data related to partners’ staff, mentors, volunteers and pupils via the partner in which they work/attend maths circles.
- We also receive data via the Axiom Maths Hub and TalentLMS (if you are a mentor registered on the sites), Typeform and Form Assembly (if you are an active participant completing one of our surveys).
We use the information that you have given us in order to effectively manage and deliver our programmes and measure the impact of these activities to further improve our provision.
If you are an active participant in one of Axiom Maths’ programmes, either as a pupil or mentor, data may be shared with and processed by third party platforms/software for the purposes of managing our programmes and collecting feedback. This includes the developers of our online platform (the Axiom Maths Hub) who may require data to fix bugs and ensure the smooth running of the platform. Also, data may be shared with an external research organisation to analyse the impact on pupil attainment compared to national statistics. As part of this research, the Department for Education (DfE) may collect subsequent data, such as exam results and academic destinations, from national pupil databases. Subsequent data collected by the DfE will only be used to further analyse the impact of the programmes and only be in anonymised format.
Axiom Maths transfers personal data to countries outside of the EEA, but only where appropriate safeguards are in place (such as the International Data Transfer Agreement or the International Data Transfer Addendum) or an adequacy decision is in place, in line with data protection legislation. Axiom Maths does not use profiling or automated decision making as part of its processing of personal data.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
(a) Consent: the individual has given clear consent for their personal data to be processed for a specific purpose.
(b) Contract: the processing is necessary for a contract we have with the individual, or because they have asked us to take specific steps before entering into a contract. In some instances, individuals may be under a contractual and/or statutory obligation to provide us with personal data. Without this data, we may not be able to provide the service or manage the programme as required.
(c) Legal obligation: the processing is necessary for us to comply with the law (not including contractual obligations).
(d) Vital interests: the processing is necessary to protect someone’s life.
(e) Public task: the processing is necessary for us to perform a task in the public interest or for our official functions, and the task or function has a clear basis in law.
(f) Legitimate interests: the processing is necessary for our legitimate interests or the legitimate interests of a third party, unless there is a good reason to protect the individual’s personal data which overrides those legitimate interests. We have identified some of our legitimate interests as effectively managing our organisation, administering the Axiom Maths programmes, supporting our pupils, mentors and partners, and measuring the impact of our activities.

Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information and other supplementary information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer, move or copy the personal information you gave us to another organisation, or to you, in certain circumstances.
Your right to withdraw consent – You have the right to withdraw consent for data processing, where consent has been given.
