Software Working Process


Convert OLM File into PDF Format

Step 1

Download the MacSonik OLM to PDF Converter Tool and install it on your system. Once the installation is complete, launch the software to get started.

Open the MacSonik OLM Converter Tool and click on “Select OLM File(s)” to locate the OLM file on your computer. After selecting the file, press Open to add it to the software panel.

Buttons Explained:

  • Select OLM File(s): Lets you manually choose one or more OLM files from your system.
  • Select Folder: Allows you to add a complete folder that contains multiple OLM files in a single step.
  • Remove Selected: Removes only the file you have highlighted from the list.
  • Clear List: Deletes all added files at once so you can begin again.
  • Proceed >>: Takes you to the next screen where you can select the output format and adjust conversion settings.

In this step, you can check your mailbox data before starting the conversion. The tool shows all folders and subfolders in a clear layout, allowing you to confirm that everything you need is properly loaded.

Preview Panel Details

  • Folder Tree: Browse through all mailbox folders easily. Folders displayed in bold contain data, while regular ones are empty.
  • Email List: Shows all emails from the folder you select.
  • Attachment Indicator: Emails that include attachments are highlighted in light yellow so you can spot them quickly.
  • Search Feature: Find specific emails by entering keywords or using filters like To, From, or Subject.
  • Full Preview: Double-click any email to view its complete content along with attachments.
  • Browser Preview Option: If the built-in viewer does not load correctly, you can open the selected email in your default web browser.

Before starting the conversion, you can double-click any email to open it in a separate preview window. This allows you to carefully review the complete message and its details.

Preview Window Options

HTML Body: Displays the email in its original formatted style, just as it appeared in the mailbox.

Plain Text: Shows the content in a simple, unformatted version.

  • Attachments: Lists all files attached to the selected email.
  • Headers: Presents technical details such as sender, recipient, routing path, and other metadata.
  • MIME / Raw HTML: Shows the email’s source structure and underlying code format.
  • Calendar: Enables you to check calendar entries, including subject, date, time, location, and reminder settings.
  • Contact: Lets you view stored contact details like name, email address, phone number, company, and related information.

    Now, select the desired output format from the list provided. For this process, choose PDF as the file format to proceed with the conversion.

    In the General Settings section, you can adjust how your data will be exported before beginning the conversion. These options give you better control over what gets included and how the final file is stored.

  • Date Range Filter: Export emails from a specific period by selecting a start and end date. This helps when you only need data from a certain timeframe.
  • File Naming Policy: Choose how the converted files will be named, such as by Subject or Date, so they are easier to organize and recognize later.
  • Custom Output Folder: Select a preferred name for your file to be saved instead of using the default name.
  • Skip Existing Exports: Avoid overwriting files that have already been converted, reducing the risk of duplicates or accidental data loss.

    The Advanced Controls section gives you extra options to manage attachments, remove duplicates, and control file size during the export. These settings allow you to adjust the conversion based on your storage space and data management preferences.

    • Attachment Handling
      • Export attachments separately: Saves all attachments in a different folder outside the main email file.
      • Embed attachments: Keeps attachments included within each email.
      • Exclude attachments: Converts emails without attachments to reduce the overall file size.
    • Duplicate Detection: Eliminates repeated emails based on selected fields such as To, From, Subject, Body, and CC, ensuring that unique items are exported.
    • MBOX Segmentation: Breaks large MBOX files into smaller parts by setting a size limit or creating one MBOX file per folder.
    • PDF Size Restriction: Lets you define a maximum file size when saving emails in PDF format.
    • PST Segmentation: Divides large PST files into smaller segments by specifying a size limit, helping you avoid oversized Outlook data files.

    Step 8

    In this step, select the destination where you want the converted file to be stored. Click the Browse button beside the Output Location field, choose your desired folder on the system, and confirm your selection to set the save path.

    After choosing the desired output format and adjusting all necessary settings, click the Start Export button to begin the conversion process. The tool will then start exporting your data based on the selected configuration.

    This is the completion window in the MacSonik OLM Converter Tool that appears after the conversion process finishes successfully.

    At the top, the summary panel displays complete export information, including:

    • Source – Shows the original file format (OLM).
    • Destination – Displays the selected output format (for example, PDF).
    • File Count – Indicates the total number of files processed.
    • Processing Status – Shows Completed once the export is finished successfully.
    • Execution Time – Displays the total time taken to complete the conversion.
    • Total Messages – Represents the number of emails converted.
    • Output Location – Shows the folder path where the converted file has been saved.

    In the center of the screen, a confirmation pop-up appears stating that all selected data has been exported successfully. This confirms that the process was completed without any errors.

    At the bottom of the window:

    • Export Log – Lets you view or save a detailed report of the entire conversion process.
    • Start New Export – Allows you to begin another conversion task if required.

    This final screen confirms that your OLM file has been successfully converted and saved to the selected location.
