FAQs
Yes! Each provider kicks off their employment with us by completing an in-depth paid training program, which includes cultural competency, essential clinical training, familiarization with internal systems, and access to additional support resources. Training includes frequent meetings and check-ins during your onboarding process with our Provider Education Team to ensure all your questions are answered.
Supporting our providers is at the heart of everything we do. In addition to receiving onboarding support, you are paired with a Clinical Manager who will work closely with you, from getting you acquainted with your caseload to continued clinical support throughout your time with Huddle Up. Additionally, all of our providers become part of an exclusive network where they can share key learnings with one another to support continuous development. Every school district also receives a dedicated Client Success Manager whose focus is to ensure you have everything you need from the district in order to best serve your students. If you have any technical support needs, our dedicated in-house provider support team is ready to help with any questions or challenges. These levels of support allow you to have the tools and guidance you need to succeed!
Yes! If we request that you obtain licensure in another state, we reimburse for all costs incurred during the process.
Caseload expectations are carefully considered to ensure providers can deliver high-quality services to their students while maintaining a healthy work-life balance. The size of the caseload depends on several factors, including acuity level, specific needs of each student, and travel distance (if working in-person). For example, students requiring intensive support in special education may require more service minutes than students who are ready to graduate. Our priority is to advocate for both our providers and the students they service, ensuring caseloads are manageable and aligned with state regulations.
While some states set clear caseload caps, others do not. We are committed to balancing clinical excellence with the wellbeing of our provider base to ensure effective service delivery.
Yes, support is available to help students get set up for virtual therapy sessions. We ask that districts provide a facilitator for all virtual sessions to ensure sessions go on smoothly. Facilitators may help bring students to and from sessions, assist with behavior management, and support with any other session preparation tasks you may need. This collaborative approach allows our virtual providers to focus on delivering high-quality care for their students. A separate facilitator is not needed for sessions where the provider is in-person with the student.
We partner with K-12 school districts to address immediate special education needs while building sustainable, long-term caseload support. We act as an extension of your team — identifying service delivery challenges, closing gaps before they impact students, strengthening compliance, and building systems that support both students and staff. Rather than simply filling roles, we partner with district leaders to stabilize special education programs, reduce administrative strain, and ensure IEP-related services move students forward year after year.
By partnering with school districts nationwide for over 10 years, we’ve delivered more than 1,000,000 therapy sessions across speech, occupational, mental health, and school psychology. Our care is consistent, supported by our 96% industry-leading provider retention rate.*

Sourcing and retaining high-quality providers is a cornerstone of our care model. Our in-house team of recruiters are specialists in the education space and look specifically for top-notch virtual and hybrid providers with prior experience leading IEPs in a school setting or working with school-aged pediatric populations. After undergoing a rigorous interviewing process, each new provider gets set up with a Clinical Manager to support them and help answer any case-specific questions they may encounter.
Additionally, our proprietary technology helps providers manage workflows more efficiently, allowing them to maximize time spent focusing on high-quality care delivery.
You’re not alone. We know how challenging it can be for educators to manage their day to day responsibilities while also attending to the needs of each individual student. That’s why Huddle Up works to lighten your load as an educator by serving school districts’ entire IEP caseload, delivering high-quality and consistent care to students with needs ranging from mild to complex. When Special Education populations receive the care they need, educators have more time and energy to focus on what they do best – educating!
We encourage you to visit our digital platform, Educator Hub, where you can find additional resources including classroom materials and professional development courses created by our own licensed providers.
Each school will have its own special education referral process. If teachers have additional concerns about a student in their class, they should reach out to the special education director at their school who can help identify screening needs and/or referral next steps.
