Step 1: Download and Install the DRS Softech Exchange Server Backup & Restore Tool. Run it as an administrator.
Step 2: On the first page of the tool, you will see two options: Backup and Restore. Click on Backup to backup your Office 365 data to Office 365, G Suite, IMAP, PST, PDF, EML, MBOX, and CSV.
Step 3: After you choose Backup, the next page of the tool describes the steps involved in the process. Go through the steps and click Continue to begin.
Step 4: You will reach the Login page of the tool. You can log in either by 'Use Modern Authentication' or 'Modern Authentication (By Using User Client ID and Secret).'
Step 5: If you choose to use Modern Authentication, you need to enter Office 365 user ID and click Sign in. It will lead you to a Microsoft login page where you need to select your Office 365 account if already logged in. You will get a notification of 'Authentication Successful.' Return to the tool.
Step 6: If you choose Modern Authentication (By Using User Client ID and Secret), you need to provide a valid Application (Client) ID, Directory (Tenant) ID, Secret Value, and Microsoft Azure Admin ID. To Create an Azure Active Directory Application, click on the link provided at the top of the page. And, Click on Authenticate to proceed.
Step 7: Please note that, if you want to take backups of multiple user accounts through CSV, check the Assign Impersonation checkbox.
Step 8: Once you are successfully logged in, click on Import CSV to add multiple Office 365 user IDs.
Step 9: Next, select the desired Backup Options provided: Mailbox, Online archive, or Public folders. Also, you can choose different backup options for different users. Click Next.
Note: You cannot change these backup options (Mailbox, Online Archive, and Public Folder) for the source account after proceeding.
Step 10: Now, in the Mailbox Hierarchy section, you can select the desired folder from the tree-structured mailbox preview. And Click on Next.
Step 11: Expand the Save/Backup/Migrate As field to choose the destination email client or file format. Here, we will choose G Suite as the destination email client.
Step 12: Provide a valid G Suite credential( including Admin Email ID and Service account ID ) and click Browse to select the p12 file. Click on Sign In. Check how to Create the following Admin Email ID, Service account ID, and P12 file to Login G Suite Account.
Step 13: The next step is to apply filters. You will see various filters and options on the screen, like.
Check the ‘Remove Duplicates on the basis of To, From, Subject, and Body’ checkbox to delete all duplicate emails. You can also remove duplicate Calendars, Contacts, Tasks, and Notes. Save Mail Without Attachments option to exclude attachment files. Opt for the Free Up Server Space option to delete data from the server after the backup is complete.
Step 14: You can also apply:
Date Filter: Enter a Start date and End Date to specify data migration from a particular date range.
Custom Folders Name: To specify a desired name for the destination folder where mailbox data will be saved. Hit, Next.
Step 15: In the Map Users section, choose the Google Workspace ID/s to which you want to migrate Office 365 mailbox. Click Next to proceed further
Step 16: Last, you reach the Migration section. Choose the destination user ID and Mailbox folder (Mailbox, Online Archive, or Public Folder) for the destination where you want to transfer Office 365 data. Hit Convert to begin Migration.
Step 17: Once the migration is complete, ‘Migration has been Completed’ will pop up on the screen. Hit Ok.
Step 1: Click on Restore on the first page of the Tool, to restore PST files to Office 365.
Step 2: The next page, shows five steps involved in the process to restore PST files. Click Continue to proceed further.
Step 3: Choose either PST or OST. Then, choose either Select Single File to restore a single PST file or Select Folder to choose an entire folder containing PST files.
Step 4: Click on Select Path to choose the PST file. Select the file and open it. Then, click Next to proceed.
Step 5: You will see the list of selected files. You also get the option to remove the desired file(s). Otherwise, hit Next.
Step 6: Now, you need to log in to the destination Office 365 account. You can use Modern Authentication or Modern Authentication (By using User Client ID and secret). Here, we opt for Modern Authentication. Enter the correct username and click Sign In.
Step 7: You will reach the Microsoft Login page. Select the Office 365 account you want to Log in to and a pop-up with 'Authentication Successful' message will appear on the screen. Return to the tool.
Step 8: Choose among various filters provided to get the result as intended:
Remove Duplicates on the basis of To, From, Subject, and Body: You can choose this filter to remove duplicate Emails, Contacts, Calendars, Tasks, and Notes. Option to Save Mail Without Attachments.
Step 9: Some other Filters are:
Date Filter allows you to restore data from PST files according to a specific date range. Opt for the Custom Name Folder to provide a desired name to the destination folder. Click on Next.
Step 10: In the Map Users Section, select a User you intend to restore the PST file into. And hit Next.
Step 11: In the Migration section, you can click on the Mailbox option to choose among Mailbox, Online Archive, or Public Folders. Finally, to begin to restore the PST file, click on Convert.
