What do I bring with me?

You bring yourself and your curiosity, plus any fun games, instruments, and (session) ideas that you want to share with the other participants.

What language do I use while at Play4Agile?

English is the common one used for the conference. It’s ok that your English isn’t perfect. Everyone understands that only with practice do we get better.

We also expect everyone to be nice, play nice, and follow our code of conduct.

When and where do I pay?

Many of you asked for it. Fixed prices upfront make it so much easier to get company approval: no more finding out the exact amount on Saturday afternoon before you leave, no more explaining an unknown cost to your manager after the fact. Prepaid tickets mean a precise price, a clear process and a confirmed spot from the start.

Tickets will be (are) released in phases. Event Sponsor tickets are available first: the more sponsors we have, the more we can keep ticket prices accessible for the wider community. A limited number of Early Bird tickets will be available, followed by Regular tickets. All phases are first-come, first-served. Once all tickets are sold out, you join the waitlist.

Covid policy

This is a 2g event. You should have been vaccinated against covid at some point in the past.

We have our own covid policy for the event:

  • We’ll have some lateral flow tests for you to use if you suspect you might have covid.
  • Do not attend, if you have symptoms, or have tested positive for covid in the last few days.
  • If you develop covid during the event, then
    • You can quarantine in your room, or leave the event.
    • Please tell the organisers and others you were in close contact with about the positive test, and ask them to test themselves.

Cancellation policy

Tickets are non-refundable. Transferring your ticket to another person requires our approval, so we can manage room arrangements.

If you need to transfer your ticket, then do this: Organise the handover yourself and notify us in a timely manner so we can review and approve the transfer. Please note that we will only transfer the right to participate. We do not issue a new invoice.

The change to pre-purchased tickets protects us as volunteer organisers. When cancellations occur too late to fill the spot, recovering costs from participants has been a lot of work and was often simply not possible. The financial risk fell entirely on us. We can no longer absorb that, nor can Seminarzentrum Rückersbach.

Prepaid registration is the most straightforward way to keep that risk where it belongs: shared fairly from the start. This provides everyone with the planning certainty we need to keep co-creating the experience we all know and love. Tickets will be non-refundable but transferable with our approval, so if life gets in the way, your spot does not have to go to waste.

What is this about ‘eventbrides’ at Play4Agile?

Single rooms and shared double rooms are available. However, single rooms at the venue are limited. To make p4a accessible to as many participants as possible, we ask people to share where possible. Your roommate is your Eventbride. You can name a preferred person or indicate a gender preference; we confirm before pairing.

We aim to pair people with those who they say they’d like to share. We ask you before we confirm that you’re ok to share with a person.

If you’re adventurous and are willing to share with a stranger, or ‘new friend you’ve not met yet’, we place you with a person of the same gender. As above, we ask before we confirm that you’re ok to share with a person.

Can I stay off-site and participate in Play4Agile?

No, sorry. P4a is an ‘all in’ event which means you agree to be there for the whole event. When Lady Fortuna grants you a ticket this includes a bed at the venue to sleep in as well as a seat at the table for breakfast, lunch, and dinner from Thursday through to Sunday.

This all sounds great. Can I bring my partner and kids to Play4Agile?

We want to enable parents and the next generation to participate in p4a, and also making it a great experience for everyone. So we had kids (toddlers and youth participants) on former Play4Agile events. If you have toddlers, who you want to bring along, then make it transparent to the organizers in your registration. If you have youths that want to participate, they have to register and purchase tickets on their own. Both the young person, and the adult should put each other’s names in the form for sharing a room. The young person should also list the parent in the form too.

What if I need some space to look after myself at Play4Agile?

P4a is an unconference, which opens up many more opportunities to take part in sessions than in a regular conference where everything is organised around a fixed schedule. An unconference lets you create your own schedule of what you offer fellow attendees, and what you also want to take part in too. Plus you can also arrange your own ‘side events’ for breakfast, lunch and dinner, and coffee/beer meetings too. The opportunities are as wide as your diverging options and imagination allow. This is one of the really cool parts of unconferences, which many people enjoy.

The less well-known part of this is that unconferences can be a very tiring as we try to ‘do it all’ and don’t pace ourselves. You can get more from your time at p4a by building in some quiet time for yourself by making use of some of your options. You can retire to your room for a nap, or for an early bed. The venue has lots of wooded walks for quiet contemplation or walk with a friend. The bar/cafe space is also quiet and available for you, as is the sauna. There are many opportunities for you to look after yourself. Please remember to use them so that you have a great time at p4a.
