Donating Materials to Archives

When donors or employees of an institution contact the archives to discuss the donation or transfer of records, the following documents are used.

Deed of Gift

The Deed of Gift is an important document which transfers the physical ownership of items from the donor to the archive. This does not transfer intellectual ownership (copyright, etc.) to the institution in question. Deed of Gifts are generally used when a member of the public or non-employee of the institution is donating materials or a collection to your archive.

Records Transfer Form

The Central Piedmont Archives utilizes a records transfer form for interdepartmental use. When an office or a department within the College needs to send records to the archives for permanent retention, employees complete the records transfer form and email or provide a print copy to the archives.
