www.ynotone.io (AI Insights Platform)

Our AI insights platform provides clients with analytics, reporting, and AI-powered insights derived from their CRM data. Ynotone.io processes aggregated and individual data to generate reports, predictions, and recommendations for our institutional clients. Access to this platform is restricted to authorized client users.

Business and Contact Information

When you visit our marketing site or request information about our services, we may collect:

Business Information: Company or institution name, business address, business phone number, business email address, company website URL, type of institution or business, and number of employees or student enrollment.

Business Representative Information: Full name, job title or position, business contact phone number, business email address, and department or functional area.

Technical and Usage Information: IP address and general location information, browser type and version, device type and operating system, pages visited and time spent on each page, referring website or source, date and time of visit, and clickstream data and navigation patterns.

Student and Prospective Student Information (Processed on Behalf of Clients)

When educational institutions use YnotLMS.com to manage their enrollment processes, we process the following types of information on their behalf:

Personal Information: Full name, date of birth, home address, personal phone number, personal email address, Social Security Number (when required for enrollment), and emergency contact information.

Educational Information: Program of interest, educational history and transcripts, application materials and documents, enrollment status and dates, financial aid information, and academic records.

Client User Information: For institutional staff and authorized users accessing YnotLMS.com: user name and credentials, role and permissions, department and institution, activity logs and system usage, and login history and IP addresses.

Analytics and Reporting Data:

The AI insights platform processes data from YnotLMS.com to generate: aggregated enrollment metrics and KPIs, predictive models for student enrollment likelihood, lead scoring and prioritization algorithms, campaign performance analytics, conversion funnel analysis, staff performance metrics, individual student journey insights, and AI-generated recommendations and next-best-actions.

On Behalf of Institutional Clients:

We process student and prospective student data solely to provide services to our institutional clients, including: managing lead intake and distribution, facilitating admissions communications (calls, emails, SMS), tracking applicant journey through enrollment funnel, scheduling appointments and campus visits, recording and storing communication history, generating enrollment and conversion reports, providing warm transfer call center services, and integrating with client systems (SIS, financial aid, etc.).

Important: Ynot Technology acts as a service provider (data processor) for institutional clients. We only use student data as directed by our clients and do not use this information for our own marketing purposes.

Uses for www.ynotone.io (AI Insights Platform)

Analytics and AI Processing: Generate predictive enrollment models, identify high-likelihood prospects for prioritization, analyze campaign effectiveness and ROI, detect patterns and trends in enrollment data, provide AI-powered recommendations for outreach strategies, create custom dashboards and visualizations, benchmark performance across programs and campuses, and forecast enrollment and revenue projections.

Common Uses Across All Sites

Legal and Compliance: Comply with applicable laws and regulations, enforce our Terms of Service and other agreements, respond to legal requests and prevent fraud, and protect our rights, privacy, safety, and property.

Security and System Operations: Maintain system security and prevent unauthorized access, monitor for technical issues and system performance, conduct backups and disaster recovery, and troubleshoot technical problems.

Third-Party Services and Integrations

Google Services Integration

Our YnotLMS.com platform integrates with Google Workspace services (Gmail, Google Calendar, and Google Drive) to enable appointment synchronization between Ynot and Google calendars. This integration allows users to create, update, and delete appointments that sync across both platforms. Data obtained through Google Workspace APIs is not used to develop, improve or train generalized artificial intelligence (AI) and/or machine learning (ML) models.

Limited Use of Google User Data

Ynot Technology’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We use Google user data solely to provide and improve the calendar synchronization and appointment management features described above. Specifically:

  • We access only the Google services necessary for appointment synchronization (Calendar) and related communications
  • We do not use Google user data for serving advertisements
  • We do not sell Google user data
  • We do not share Google user data with third parties for their independent use
  • We do not use Google user data to determine creditworthiness or for lending purposes
  • Human access to Google user data is limited to what is necessary for security purposes, to comply with applicable law, or with your explicit consent
  • We retain Google user data only as long as necessary to provide our synchronization services or as required by law

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Data Retention

We retain your information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

Business Contact Information: Retained for 7 years from the date of last contact or until you request deletion, whichever comes first.

Technical and Usage Data: Retained for 24-36 months for analytics purposes.

Marketing Communications: Retained until you unsubscribe or opt out.

Student/Prospect Data: Retained according to our client agreements and their retention requirements, typically: active leads/prospects for duration of the recruitment cycle plus 7 years, enrolled students for duration of enrollment plus 7 years for FERPA compliance, call recordings for 7 years from date of call, and communication history for 7 years from last interaction.

Client User Data: Retained for the duration of the client relationship plus 7 years.

Analytics and Report Data: Retained for the duration of the client relationship plus 7 years.

AI Model Training Data: Aggregated and anonymized data may be retained indefinitely for model improvement purposes.

User Activity Logs: Retained for 2 years for security and audit purposes.

When information is no longer needed, we securely delete or anonymize it in accordance with our data retention schedule and applicable legal requirements.

Client Control: Institutional clients using YnotLMS.com and ynotone.io have the ability to request deletion of specific records or data sets in accordance with their data processing agreements.

Educational Institution Compliance

As a service provider to educational institutions, we understand the importance of protecting student information. When processing data on behalf of our institutional clients:

FERPA Compliance

For clients subject to the Family Educational Rights and Privacy Act (FERPA), Ynot Technology acts as a school official with legitimate educational interests. We: maintain appropriate safeguards for student education records, use student information only for authorized educational purposes, do not re-disclose education records without client authorization, and comply with all FERPA requirements regarding data security and confidentiality.

Data Processing Agreements

We enter into data processing agreements with institutional clients that specify: the scope and purpose of data processing, types of data processed and retention periods, security measures and safeguards, data breach notification procedures, restrictions on data use and disclosure, audit rights and compliance verification, and termination and data return procedures.

Limited Access

We only access student information to the extent necessary to provide our contracted services and do not use such information for our own marketing purposes or any purpose not authorized by our clients.

Institutional Control

Educational institutions using YnotLMS.com retain full control over their student data, including: determining what data is collected, configuring user access and permissions, setting data retention policies, requesting data exports or deletion, and managing consent and opt-out preferences for their students.

AI and Machine Learning Practices

How We Use AI on ynotone.io

Our AI insights platform uses machine learning models to: predict enrollment likelihood for prospective students, recommend optimal outreach strategies and timing, identify patterns in successful enrollment journeys, score and prioritize leads for admissions teams, detect anomalies and potential data quality issues, and forecast enrollment and revenue projections.

AI Model Training and Data Use

Individual Client Models: We train AI models using data from each client’s YnotLMS.com environment. These models are client-specific and not shared across clients.

Aggregate Models: We may train aggregate models using anonymized and de-identified data across multiple clients to improve prediction accuracy and identify industry-wide patterns. Any aggregate models do not contain personally identifiable information.

Human Review: AI-generated insights and recommendations are designed to augment human decision-making, not replace it. Final enrollment decisions are always made by institutional staff.

Bias Monitoring: We regularly audit our AI models for potential bias and take steps to ensure fair and equitable treatment of all prospective students.

Transparency: Clients can request information about how AI models generate specific predictions or recommendations for their data.
