Executive Project Specialist

Location:

Richmond, Virginia


Summary
:

The Executive Project Specialist provides high-level support to executive leadership and department heads. This role requires the ability to manage projects, drive initiatives, and improve processes while handling high-level executive support functions. The ideal candidate is proactive, highly organized, and able to thrive in a fast-faced, dynamic environment. The Executive Project Specialist will also assist in coordinating, processing, assisting, and maintaining day-to-day business needs of the VIPC executive team.

Key Responsibilities:

  • Website and social media management
  • Data and dashboard management
  • Internal and external executive reports, presentations, and correspondence
  • Internal company events and external ecosystem events with stakeholders
  • Inter-departmental collaboration
  • Liaise with stakeholder partners with professionalism
  • Organize and maintain confidential files, records, and documents
  • Use discretion, judgement, and knowledge of the organization to facilitate the executives’ activities with confidentiality and professionalism


Minimum Qualifications & Skills
:

Education:

Bachelor’s degree in business administration, marketing, data analytics, or related field, or equivalent professional experience

Job-Related Experience:

2+ years administrative experience in high-pressure environments, with C-suite or project management experience preferred

Manager of External Relations

Location:

Must be based in Richmond, Virginia


Summary
:

The Manager of External Relations provides high-level executive support directly to the CEO, and at times, the leadership team. This role includes supporting the CEO with executive project advisory, coordination, and execution; external affairs, liaising, and communications with critical external stakeholders; legislative and policy advisory, relations, and project management; and handling confidential information and support. The ideal candidate is proactive, highly organized, able to thrive in a fast-paced, dynamic environment by performing a variety of skilled tasks interacting with executive-level leaders.


Key Responsibilities
:

  • Accompany, support, and capture takeaways from CEO’s in-person meetings throughout the state with external stakeholders and ensure engagement follow-through
  • Provide background research, policy information, meeting prep, talking points, and printouts for the CEO
  • Assemble meeting briefings, binders, and materials with printouts for the CEO
  • Provide liaison and advisory support to CEO with external governmental, legislative, economic, and policy stakeholder engagement
  • Support legislative monitoring, reports, and activities
  • Draft, edit, and proofread CEO communications
  • Work on ad-hoc projects or presentations as needed for CEO affairs
  • Work with confidential files, records, information, and documents


Minimum Qualifications & Skills
:

Education:

Bachelor’s degree; preferred areas of studies include Economics, Law, or Politics

Job-Related Experience:

3-5 years of executive support in dynamic, fast-paced, agile environments; external affairs and engagement; legislative, policy, and governmental stakeholder-related experience

As a member of VIPC’s executive leadership team, the VP will lead the Commercialization Division, driving statewide strategy, operational excellence, and program execution to advance the commercialization of cutting-edge technologies and intellectual property emerging from Virginia’s research universities, nonprofit labs, and federal R&D institutions.

In this pivotal role, the VP will guide, coordinate, and invest in high-potential technology initiatives — with a focus on strategic sectors such as life sciences and defense technology to accelerate startup growth and economic development. The VP will serve as a key connector across Virginia’s innovation ecosystem, building influential partnerships with academic institutions, government stakeholders, entrepreneurs, and corporate leaders.

A central responsibility of the role is oversight of the Commonwealth Commercialization Fund (CCF), a significant state-funded grant and loan program supporting early-stage commercialization efforts.
