Registrations

General registration information

  • Early bird fee applies until March 9th, 2026 (23:59 CET). Registrations close on May 18th, 2026.
  • All registration fees are VAT exempt based on article 44 § 2, 4° of the Belgian VAT directives.
  • Registration fees are to be paid in Euros (€) by bank transfer, credit card or invoice.
  • Please find below an overview of the registration fees:

*You are eligible for the ‘Student fee’ if you are a student in the academic year 2025 – 2026 (valid until summer). If you register as a student, please send us proof of your student status within 2 weeks after registering. This can be a student card for the academic year, a Faculty registration certificate, or a letter from your supervisor or head of department, which should be e-mailed to: info@torque2026.eu.

The registration fee includes:

  • Conference materials
  • Coffee breaks
  • Lunches
  • Ice breaker event on June 2nd, 2026 (upon registration)
  • Welcome reception on June 3th, 2026 (upon registration)
  • Morning run on June 4th, 2026 (upon registration)

The following activities are not included in the registration fee:

  • Guided city Walk on June 2nd, 2026 (€ 10,00)
  • Conference dinner on June 4th, 2026 (€ 85,00)

Accompanying persons can join following social activities upon registration and payment of the corresponding fee:

  • Guided city Walk on June 2nd, 2026 (€ 10,00)
  • Ice breaker event on June 2nd, 2026 (€ 50,00)
  • Welcome reception on June 3th, 2026 (€ 50,00)
  • Morning run on June 4th, 2026 (€ 15,00)
  • Conference dinner on June 4th, 2026 (€ 150,00)

Registration process

  • To register, please complete our registration form. The link to the registration tool will be available on November 28th, 2025.
  • The registration form consists of 7 steps:
  • Step 1 - General information: Please include your personal information on this page.
  • Step 2 – Promo code: This step is only relevant for faculty members and sponsors. If you did not receive any code from the organization, you may click on ‘Next’.
  • Step 3 – Fee selection: Select the fee that is applicable to your situation.
  • Step 4 – Activities: Please select the social activities that you wish to attend.
  • Step 5 & 6 - Accompanying persons: These steps are only relevant if you wish to bring your accompanying person along to the social activities. Please note that accompanying persons cannot attend the scientific program. If you do not have an accompanying person, please click on "Skip this step'.
  • Step 7 – Payment: In this final step, you can indicate your preferred method of payment (online payment, bank transfer or invoice). If you want to pay via invoice, please select 'bank transfer' in the final step of your online registration and click 'save'. To request the invoice, please complete the form that you will find in your email after registration and send the completed form to info@torque2026.eu. The invoice will be sent to you by email, including corresponding payment instructions. Please do not pay before receiving the invoice.

Important invoicing information

  • If you want to pay via invoice, please select 'bank transfer' in the final step of your online registration and click 'save'. To request the invoice, please complete the form that you will find in your mail after registration and send the completed form to info@torque2026.eu.
  • The invoice will be sent to you by email, including corresponding payment instructions. Please do not pay before receiving the invoice.
  • Please note that we can only send official invoices to participants that have not yet paid their registration fee. If you already paid your registration by credit card or bank transfer, our financial department will only be able to send you proof of payment. (Note: social activities are not listed separately on the invoice).

Cancellation policy

If you want to cancel your registration, then the organization must be notified of cancellation of registration via email (info@torque2026.eu).

  • Cancellations until March 3rd, 2026: Full reimbursement of the registration fee, with an administrative cost of € 25.
  • Cancellations from March 4th, 2026 until April 19th, 2026: 50%reimbursement of the registration fee.
  • Cancellations after April 19th, 2026: No reimbursement of the registration fee.
  • No refunds will be granted to non-attendees.

All cancellations must be submitted in writing to info@torque2026.eu and received by the published cancellation deadline. Refund requests can only be made by the registered attendee or the credit card holder. To process your refund, please include the attendee’s name along with the bank account details used for payment and/or the transaction number.
