How to Create and Manage Individual Campsites
Setting up individual campsites is a fundamental part of campground management. Each site needs proper configuration to ensure accurate availability, appropriate pricing, and clear information for potential guests. This guide will walk you through creating and configuring individual campsites in your management system.
Accessing Site Management
Current Navigation
From Dashboard:
- Click on “Settings->Site Settings->Sites” in your current dashboard
Site Overview
Once in the Sites section, you’ll see:
- Complete listing of all existing sites
- Site details and current configurations
- “Create Site” option for adding new sites
Creating a New Site
Step 1: Use Site Templates (Recommended)
Load from Template Option:
- Look for “Load from Template” at the top of the create site form
- Strongly recommended to use templates to avoid re-entering repetitive information
- Templates save time and ensure consistency across similar sites
- Watch the templates video if you haven’t set up site templates yet
To use a template:
- Select “Load from Template”
- Choose the appropriate template for your site type
- Click “Load Template”
- Template will pre-fill most site settings for you
Step 2: Basic Site Information
Site Number/Name
- Enter a unique site identifier (most campgrounds use numbers)
- Examples: “12”, “A-5”, “Riverside-1”
- Avoid duplicating existing site numbers
- Choose a logical numbering system for easy navigation
Site Description
- Write a clear, helpful description of the site
- Include important details about location, features, or special characteristics
- Examples: “Shaded site near playground”, “Waterfront with dock access”
Step 3: Site Images (Critical for Bookings)
Upload Multiple Photos:
- Use the site gallery to upload as many images as possible
- Quality matters less than quantity – don’t worry if photos aren’t “glamorous”
- Guest feedback emphasizes the importance of seeing actual site conditions
Important Images to Include:
- Overall site view showing size and layout
- Shade conditions (morning and afternoon if different)
- Proximity to facilities (bathrooms, playgrounds, roads)
- Utility connections and hookup locations
- Site boundaries and neighboring sites
- Access points and parking areas
Why Images Matter:
- Guests want to know about shade availability
- Help guests avoid high-traffic areas if they prefer quiet
- Reduce booking mismatches and cancellations
- Increase guest satisfaction through accurate expectations
Step 4: Map Placement
Interactive Map Selection:
- Blue glowing spots indicate available map positions
- Black outlined spots are the site assigned to this Site
- Click on your desired location on the campground map
Step 5: Pricing and Categories
Pricing Model
- Select the appropriate pricing model for this site
- Different sites can have different pricing models
- Watch the pricing model video if you need help setting up pricing
- Consider factors like site size, amenities, and location
Site Types (Optional)
- Choose relevant site type categories if you’ve created them
- Site types are for organization and search purposes only
- Don’t affect pricing or availability – purely categorization
- Examples: “Waterfront”, “Premium”, “Standard”, “Group Sites”
- Help guests filter and find sites that meet their preferences
Step 6: Availability Settings
Camp Admins Only Option
- Check this box for sites you want to control manually
- Use for overflow sites that shouldn’t be automatically bookable
- Emergency or special-use sites that require staff approval
- Generally keep unchecked to maximize self-service bookings
Best Practice: Keep as many sites available to campers as possible to reduce phone calls and administrative work.
Step 7: Physical Site Specifications
Site Dimensions
- Length: Enter the usable length for RVs/trailers
- Width: Site width for setup space
- Accurate measurements help prevent booking problems
Camping Unit Restrictions
- Minimum/Maximum Nights: Set if this site has special stay requirements
- Number of Camping Units: How many RVs, tents, etc. can fit
- Types of Camping Units: Check all applicable (RVs, tents, trailers, etc.)
- Maximum Guests: Set occupancy limits for the site
RV-Specific Settings
- Maximum RV Length: Longest RV the site can accommodate
- Pull-Through: Check if RVs can drive straight through
- Accessibility: Mark if site meets accessibility requirements
Step 8: Utility and Amenity Configuration
Water and Sewer
- Water availability: Check if site has water hookup
- Sewer connections: Mark if site has sewer hookup
- Specify connection types if your system allows
Electrical Service
- Select electrical amp level: 15-amp, 20-amp, 30-amp, 50-amp
- Choose “None” for tent-only sites without electrical
- Multiple options if site has various electrical connections
Step 9: Finalize and Create
Review All Settings
- Double-check site number for uniqueness and accuracy
- Verify map placement matches physical location
- Confirm all amenities are accurately marked
- Review restrictions and occupancy limits
Create the Site
- Click “Create Site” to save your configuration
- System will validate all required fields are completed
- Site becomes immediately available for booking (unless marked admin-only)
Best Practices for Site Management

- Use logical, sequential numbering for easy navigation
- Consider area-based numbering (e.g., A1-A20, B1-B30)
- Avoid gaps in numbering when possible
- Document your numbering system for staff reference
Template Usage
- Create templates for common site types before adding individual sites
- Update templates when you discover better configurations
- Use consistent descriptions and amenity selections
Guest Experience Focus

- Include seasonal variations (morning sun, afternoon shade)
Comprehensive Photos
- Regular photo updates to reflect current conditions
- Seasonal photos if site conditions change significantly
- Multiple angles to give complete site picture
Operational Efficiency
Self-Service Optimization
- Keep most sites available for online booking
