In the standard NetSuite process, users download a view of their record by clicking the Print button, which generates a PDF that can be saved locally. While the record itself may follow customized numbering formats the downloaded PDF still defaults to NetSuite’s standard ID format. This disconnect reduces the usefulness of custom numbering rules. The Smart PDF Export solution eliminates this problem by aligning downloads with your business rules. With a single download button, records are exported using your user-defined naming conventions, ensuring the file name matches the format you’ve set in NetSuite. The result is a faster, more personalized, and more efficient experience that keeps your files organized and immediately recognizable.
Smart PDF Export adds a simple export option directly to NetSuite records. When selected, the solution generates the record as a PDF and automatically applies a file name based on your configured NetSuite fields, such as the customer name, transaction number, or record type. This gives users a clearly named PDF without requiring them to manually rename the file after downloading it.
Smart PDF Export replaces NetSuite’s standard print-to-PDF process with a faster and more user-friendly export option. Instead of forcing users to accept generic file names, it allows for fully customized naming conventions that align with business rules. Files can be named dynamically based on fields like transaction ID, customer reference, or record type, ensuring consistency across all exports. Fully integrated with NetSuite, Smart PDF Export helps streamline workflows, reduce naming errors, and simplify the management of large volumes of transaction documents.
Smart PDF Export is ideal for teams that need a simpler and more consistent way to export PDFs from NetSuite. The solution replaces the standard print-to-PDF process with a direct export option and applies the company’s preferred naming convention automatically. It is especially useful for sales, accounting, and operations teams that regularly download invoices, sales orders, purchase orders, or other transaction records. For organizations handling high transaction volumes, Smart PDF Export improves file organization, traceability, and usability by ensuring each downloaded PDF is clearly and consistently named.
The Smart PDF Export solution gives businesses greater control and efficiency when exporting records from NetSuite. By replacing the default print-to-PDF method with a customizable download process, it ensures that every file reflects your company’s naming standards and formatting preferences. Whether for sales, accounting, or large-scale data operations, this simple but powerful enhancement delivers a smoother, more consistent experience for managing NetSuite files.

To configure the download button, go to the script deployment settings in NetSuite. Arrange them in the preferred order for the naming convention.
Yes, access to the download button can be restricted based on user roles. In the script deployment settings, set the roles that are allowed access, ensuring that only authorized users can utilize this feature.
Currently, the Download Button feature primarily supports PDF format for records. This aligns with NetSuite’s standard output, providing a consistent document format across downloads. 1. Navigate to the Search View page displaying the list of records. 2. Locate the record where you want to upload a file. You'll see a designated "Drag a file here" box next to each record. 3. Drag the file from your computer and drop it into the box next to the appropriate record. 4. The system will immediately show whether the upload was successful or if there was an error. If a file upload fails, check the file format, size, or permissions and try again. This feature is especially useful for bulk uploading files, such as receipts, invoices, or customer documents, saving time and improving productivity.
