Specimen Collection and Shipping
Ensuring Accuracy from Start to Finish
At Ponya Diagnostics, precision begins long before a sample reaches our laboratory. Every specimen we test carries vital information that can directly impact patient care and clinical decisions. To ensure accurate, timely, and reliable results, we emphasize a clear and standardized process for specimen collection, labeling, handling, and shipment.
Test requisition
Ensure the correct test and patient information are indicated on the order form.
Patient identification
Match the specimen label with the patient’s full name, date of birth, and unique identifier.
Collection method
Use the appropriate device or medium recommended for that specimen type.
Timing
Some tests require fasting or collection at specific times of day for optimal accuracy.
The Importance of Proper Specimen Collection
The accuracy of any diagnostic result depends largely on how the specimen is collected. Each test has specific requirements — from the type of sample (blood, urine, or swab) to the collection container, preservative, and temperature. Following these guidelines helps prevent contamination, degradation, or rejection of the sample. Ponya Diagnostics provides detailed specimen collection guides for every test we offer, including step-by-step instructions and handling recommendations.
Labeling and Documentation
Accurate labeling is critical. Each specimen container must be clearly labeled with the patient’s information and the date and time of collection. Unlabeled or mismatched specimens cannot be processed. Always include a completed requisition form with all relevant clinical details, provider contact information, and billing details if applicable. Our laboratory also supports barcoded requisition systems to streamline tracking and minimize manual errors. If your clinic or practice uses electronic medical records (EMR), Ponya Diagnostics can integrate directly to ensure automatic data transfer.
Specimen Handling and Storage
Once collected, specimens must be handled carefully to maintain their integrity. Some require refrigeration, while others must remain at room temperature or be frozen immediately. Key handling tips include:
-
Avoid exposing specimens to direct sunlight or excessive heat.
-
Keep transport containers upright and securely closed.
-
Do not overfill or underfill tubes or vials.
-
Use the correct transport medium for cultures and molecular testing
