To help everything run seamlessly on the day, please review carefully the guidelines:

Oral presentations

Presentation format and file requirements

  • File Type: PowerPoint (.PPT or .PPTX). PDF will only be accepted if PowerPoint is not possible.
  • Aspect ratio: 16:9 (widescreen).
  • Fonts: Use standard system fonts. Minimum font size: 24 pt
    (if special fonts, check the functionality with the technician on the day of presentation)
  • Videos: Must be embedded within the presentation. Additionally, upload video files separately in MP4 format as a backup.
  • Copyright: Ensure that all media used are copyright compliant.

File naming standard

  • Format: [Date]_[last name]_[first name] Example: 2JUN_Smith_John.pptx
  • If you later upload a new modified version, mark it clearly e.g. NEW_June3_Smith_John

Submitting your presentation in advance

  • Deadline: Upload your presentation in advance, the very latest by noon the day before your session.
  • Upload link: Link will be sent to you in an info email on 27 May.
  • Important: Personal laptops cannot be used. All presentations will be run from the auditorium computer. However, if you wish to refer to notes during your presentation, we recommend bringing printed notes or your own laptop or tablet for that purpose. 

On the day of your presentation

  • Arrival time: Please arrive at the auditorium 20 minutes before the start of your session.
  • Upon arrival, meet the chair, check the technical setup and receive your headset microphone.
  • Technical support: Technicians will be available throughout the programme.

Timing and format of presentations

  • Invited presentations: time specified in the programme (inclucing 5 minutes for questions)
  • Abstract presenters: Oral presentation time: 12 min (+ 3 min for questions)

Poster presentations

  • Posters will be presented onsite at the congress venue.
  • The poster size is A0 in portrait orientation ((841 mm width x 1189 mm height)
  • All posters can be on display during the duration of the congress (from Monday morning – Wednesday afternoon).
  • Poster presenters are requested to be by their posters to answer questions during the poster session.
  • Pins will be provided at the poster area. Poster boards will be numbered. Please check your poster number from the online programme.
  • All posters must be dismounted by the presenter at latest by 14.00 on Wednesday, 3 June. Please note that the poster presenters are responsible of dismounting their posters. No poster will be retained nor sent to their owner after the congress.
  • All poster presenters may also upload their poster to the online Poster Gallery as a PDF file. Access link to Oxford Abstracts to upload the poster file will be sent to you 2 weeks before the congress on 18 May. Uploading your poster to poster gallery is optional but recommended.
