U.S. Based Recruitment Platform

A U.S. based  recruitment platform connecting talent with companies posting job opportunities. Their platform facilitates matching between candidates and employers, with communication occurring via chat, email, or SMS. The latest enhancement to their platform introduced AI-powered interactions, allowing AI to initiate and manage candidate conversations until a meeting is scheduled with a human recruiter.

Primarily designed for Security Operations Center (SOC) teams, this platform aims to eliminate tedious and time-consuming tasks while also reducing the costs associated with off-shift coverage.

THE CHALLENGE

Automating Early
Candidate Engagement

The client required a development strategy that could:

Recruiters were spending excessive time answering questions from candidates who were either uninterested or slow to respond. They aimed to improve efficiency by automating candidate interactions, allowing recruiters to focus on high-value tasks. While AI had already been integrated into job postings, the company sought to enhance its capabilities by enabling AI-driven conversations that could address candidate inquiries and schedule interviews automatically.

OUR STRATEGY

Integrating AI to Streamline
the Recruitment Flow

LoopStudio developed an AI module that seamlessly integrated with the client’s existing platform.
This module connected to their front-end and backend services, responding to candidate messages and relaying information via chat, email, or SMS.


During development, more challenges arose such as:

  • Correctly interpreting when a candidate was genuinely interested versus when they were not.

  • Keeping users engaged and motivated to schedule interviews – especially when follow-ups were needed due to a lack of response.
 
  • Integrating data with existing platform.


  • Managing AI responses when information was incomplete (commonly known as hallucinations).

Documentation Phase: We defined client requirements, AI response parameters, restrictions (e.g., preventing disclosure of private data), and guidelines for relevant topic discussions.

Iterative Development with Scrum: one of LoopStudio’s software engineers worked closely with the client’s development team in weekly feedback sessions to refine AI responses.

AI Performance Tuning: The AI was trained to accurately respond to common and complex inquiries while filtering out unrelated conversations.


Final Integration
: The AI module was successfully deployed, ensuring smooth interaction with the platform’s existing infrastructure

  • Correctly answer a predefined set of frequently asked questions.
  • Handle more complex inquiries while staying within the scope of recruitment.
