Sheet View Overview

Work in a customizable grid format for organized planning and detailed project tracking

The sheet view allows you to use the Gantt data grid without the bar chart. This view does not operate like a typical spreadsheet in Excel or Google Sheets.

The sheet view allows you to customize your column set up differently than your Gantt. This enables analysis and tracking around key areas, such as resources or costs for example, without affecting the Gantt chart view.

Data entered in the sheet view appears in all other views in the software, as well as dashboards and reports.

Tip: Be creative when organizing columns in the sheet view to reveal project insights you may have overlooked in the Gantt view. Create custom columns to take your analysis even further.

An Introduction to Formatting Sheet Data

Any sheet formatting is applied on a project level, so any team members will see the changes.

Collaborators won't be able to change task data itself, but they will be able to apply color, text and numerical formatting changes.

On any column, click the arrow that allows you to insert, hide or manage columns. You can format text, cells or rows using the "A," paint and 123 icons.

Below are the formatting options you'll have for the sheet:

  • Color formatting: Apply color to text, cells or rows
  • Text formatting: Change the font, font size, style and alignment
  • Numerical formatting: Format the date, percent, decimal and currency columns
  • Date, decimal and percent settings: Highlight the column and press the "123" icon to change these settings
  • Currency: If you have access to account settings, you can change the global account currency

Overview of the Sheet's Features

We've compiled a brief overview of the most prominent features. 

Sheet Ribbon

Similar to the Gantt ribbon, the sheet ribbon provides menu options for customization and data input. Here, you can create new tasks, assign resources, link dependencies, customize or add columns, print, modify your view and more.

Sheet View Data

The sheet view has detailed data that you can leverage to make more accurate project schedules, track resources and generate powerful reports. Here are some common data types in the sheet view.

  • Actual and planned costs
  • Actual and planned hours
  • Assignee
  • Baseline start and finish date
  • Milestones
  • Planned start and finish date
  • Resource costs
  • WBS

How to Show, Hide or Create Sheet Columns

You can view more columns on the sheet by clicking the column button on the ribbon, or by clicking the plus button on the far right of the data grid.

You can select the columns you want to see or create a custom column. Keep in mind that the columns that you select on the sheet won't be displayed on the Gantt chart.

Task Information Panel

Access the task information panel by clicking on the "i" icon on the sheet ribbon. The panel will then appear at the bottom of your screen.

Printing the Sheet

You can easily print your sheet by clicking the print icon on the ribbon, or by clicking Ctrl+Print on your keyboard. You can select the information that you'd like to see on the print output such as columns, rows and timeframe. You can also choose to print the summary tasks only on the sheet.

Assigning Tasks and Tracking Resources

As your team enters data on tasks throughout the software, the sheet view's data will automatically update.

If you've entered a default hourly rate or custom hourly rate for a team member and assigned them hours, the planned resource cost will populate. Once you assign your task, your planned hours will also update.

As soon as a team member logs hours on a timesheet or task, the actual resource cost automatically updates. This information is automatically added to your reports and dashboards.

Toggle Between the Gantt and the Sheet Views

You may work exclusively in the sheet view or toggle between the Gantt and the sheet to display both the visual Gantt and the data grid on the full screen.

On the sheet view, you'll see the same data displayed as you do on the Gantt view. However, you can enable different columns and set a different column order between the two views.
