1. Introduction

Plankton Digital Pty Ltd ("Plankton Digital", "we", "us", or "our") operates the LeadSync platform at leadsync.me. This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use our website and services.

By using LeadSync, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our services.

2. Information We Collect

Personal Information

When you create an account or use our services, we may collect:

  • Name and email address
  • Billing information (processed securely by Stripe; we do not store full card details)
  • Company or business name
  • Information you provide when contacting support

Lead Data

LeadSync processes lead data from advertising platforms (Facebook, Instagram, TikTok, LinkedIn, Google Ads) on your behalf. This data may include names, email addresses, phone numbers, and other form fields submitted by your leads. We act as a data processor for this information — you (our customer) remain the data controller.

Usage Data

We automatically collect certain information when you visit our website, including:

  • IP address, browser type, and operating system
  • Pages visited, time spent, and referring URLs
  • Device information (screen size, device type)

Third-Party Account Data

When you connect advertising platforms (such as Facebook or Google), we receive access tokens and account identifiers needed to sync your leads. We do not access data beyond what is necessary for the service to function.

3. How We Use Your Information

We use the information we collect to:

  • Provide and maintain our service — delivering lead notifications, syncing data to your chosen destinations, and managing your account
  • Process payments — managing subscriptions and billing through Stripe
  • Communicate with you — sending service updates, responding to support requests, and delivering important account notifications
  • Improve our service — analysing usage patterns to enhance features and fix issues
  • Comply with legal obligations — meeting regulatory, tax, and legal requirements

We do not sell your personal information. We do not use lead data processed on your behalf for our own marketing purposes.

4. Data Sharing & Third Parties

We share your information only in the following circumstances:

Service Providers

We use trusted third-party services to operate LeadSync:

  • Stripe — payment processing (Stripe Privacy Policy)
  • SendGrid — transactional email delivery (Twilio Privacy Policy)
  • Google Analytics — website analytics (Google Privacy Policy)
  • DigitalOcean — cloud hosting infrastructure (DigitalOcean Privacy Policy)

Your Chosen Destinations

When you configure integrations (e.g., HubSpot, Mailchimp, Google Sheets), lead data is sent to those platforms according to your settings. Each destination has its own privacy policy governing its use of that data.

Legal Requirements

We may disclose your information if required to do so by law, or in good faith belief that such action is necessary to comply with legal obligations, protect our rights, prevent fraud, or ensure the safety of our users.

Business Transfers

If Plankton Digital is involved in a merger, acquisition, or sale of assets, your personal information may be transferred as part of that transaction. We will notify you of any such change.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Specifically:

  • Account data — retained while your account is active and for a reasonable period after closure for legal and audit purposes
  • Lead data — retained in our system logs for up to 90 days to support troubleshooting and redelivery, then automatically purged
  • Usage data — retained in aggregate form for analytics; individual records are not kept indefinitely

You can request deletion of your account and associated data at any time by contacting us.

6. Data Security

We take reasonable measures to protect your personal information, including:

  • All data transmitted between your browser and our servers is encrypted via TLS/SSL
  • Database access is restricted and protected by strong authentication
  • Regular automated backups to prevent data loss
  • Payment information is handled entirely by Stripe and never stored on our servers

While we strive to protect your data, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.

7. Cookies & Tracking

We use cookies and similar technologies to:

  • Essential cookies — maintain your login session and remember your preferences
  • Analytics cookies — understand how visitors use our website (via Google Analytics)
  • Marketing cookies — measure the effectiveness of our advertising (via Google Tag Manager)

You can control cookies through your browser settings. Disabling cookies may affect the functionality of certain features. When you first visit our site, we display a cookie notice allowing you to accept our cookie usage.

8. Your Rights Under GDPR

If you are located in the European Economic Area (EEA) or the United Kingdom, you have the following rights under the General Data Protection Regulation (GDPR):

  • Right of access — request a copy of the personal data we hold about you
  • Right to rectification — request correction of inaccurate or incomplete data
  • Right to erasure — request deletion of your personal data ("right to be forgotten")
  • Right to restrict processing — request that we limit how we use your data
  • Right to data portability — request your data in a structured, machine-readable format
  • Right to object — object to processing based on legitimate interests or direct marketing
  • Right to withdraw consent — withdraw consent at any time where processing is based on consent

To exercise any of these rights, contact us at support@leadsync.me. We will respond within 30 days. If you are unsatisfied with our response, you have the right to lodge a complaint with your local Data Protection Authority.

Legal basis for processing: We process your data based on contractual necessity (to provide the service you signed up for), legitimate interests (to improve our service and communicate with you), and consent (for marketing communications, which you can opt out of at any time).

9. Your Rights Under Australian Privacy Act

Plankton Digital Pty Ltd is an Australian company and complies with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). Under Australian law, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Complain about a breach of the Australian Privacy Principles

If you believe we have breached the APPs, you can lodge a complaint with us at support@leadsync.me. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC).

10. Children's Privacy

LeadSync is a business-to-business service and is not directed at children under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this page. We encourage you to review this page periodically. Continued use of our service after changes constitutes acceptance of the updated policy.
