Welcome. In the next 10 minutes you'll have a working Remindax setup: your workspace configured with your timezone and date format, one teammate invited (or not — solo is fine), and your first real reminder created with notifications scheduled. The rest of Remindax is variations on these three things — workspace settings, people, and reminders — so getting comfortable with these is the whole foundation.
What Remindax does in one paragraph
Remindax tracks documents that expire (insurance, licenses, contracts, vehicle registrations, certifications, anything with a renewal date) and reminds you and your team — and any external contact you choose — before they do. You attach the actual document, set the expiry date, and pick how many days before to start notifying. Multi-channel notifications (email, SMS, WhatsApp) go out automatically. Recipients can reply to confirm renewal, attach the renewed document, and the cycle continues.
Your 10-minute path
Minute 0–2: Set your workspace basics
Go to Settings → General and confirm:
- Timezone — Remindax uses this as the baseline for when notifications send.
- Date Format — pick
dd-mm-yyyy,mm/dd/yyyy, oryyyy-mm-dd. This drives display and import file format. - Language — the interface language.
If you'll have multiple companies (separate clients, legal entities, sites), that's a later step — for now, start in the default company.

Minute 2–4: Decide who's on the team
Two roles to think about:
- Users — your teammates who log in and manage Remindax. They consume seats against your plan.
- Contacts — people who receive reminders. They don't log in. Most of the people you notify (clients, vendors, drivers, partners) are contacts, not users.
If anyone on your team needs to log in and operate Remindax, go to Manage → Users and click Create User — name, email, save. They become an Editor by default; promote to Admin from the row ⋯ menu if needed.

Minute 4–7: Create your first real reminder
Pick something you actually want Remindax to track — a real insurance policy, license, or contract. Don't use a test reminder; start with real data.
- Click + New Reminder (or use AI SmartDoc if you have the document file — see Your first reminder in 5 minutes).
- Fill in title, expiration date, document type, and any contacts who should receive notifications.
- Confirm or change the reminder sequence (the default is fine for now).
- Save.
That's it — Remindax now tracks the item and will notify the right people at the right times.
Minute 7–10: Look around
Click through the main views to orient yourself:
- Dashboard — your at-a-glance KPIs and recent activity.
- Explorer — the universal list of all reminders, filterable and searchable.
- Calendar — date-grid view of upcoming expirations.
- Drive — your file storage.
- Inbox — your unread notifications.

What to expect after signup
- Email verification. The signup confirmation link expires after 24 hours. If yours expired, request a new one before logging in.
- First-week activity. Most teams spend the first week importing existing records (via bulk import or SmartDoc) and configuring sequences/templates.
- Plan and limits. You can see your plan and usage at any time via the Subscription tab in the left nav, or My Subscription in the profile dropdown.
Edge cases & gotchas
- Don't add clients as Users. A User consumes a paid seat. People who only need to receive notifications are Contacts, not Users.
- Workspace timezone matters for notifications. If your team operates across time zones, set this carefully — sequences send based on the workspace and sequence timezone.
- Don't pour many companies into the same workspace if they should be separated. Each Company in Remindax is a fully standalone workspace.
- AI SmartDoc sends document content to OpenAI as part of its extraction. If your data policy forbids that, don't use SmartDoc — upload directly via Drive instead. See Where your data is stored and who processes it.
