The Speaker Coordinator reports to the Speaker Manager and supports many aspects of speaker and VIP participation for the Marketing and Events (ME) Team. S/he is responsible for supporting the communication with and requirements for speakers before, during, and after all Foundation events, inclusive of SOF Week.
Location: Greater Tampa Bay Area, Florida (most work will be done remotely)
Primary Responsibilities: The Coordinator’s primary focus is support of speaker coordination and success of all aspects of their participation in GSOF events.
- Supports speaker participation in all GSOF events, including the Imperatives Forum, symposiums, networking receptions, seminars, workshops, happy hours / huddles, luncheons, virtual events, and SOF Week
- Support speaker invitations
- Compile and input speaker biographies and headshots on websites and event program guides
- Update speaker details on a variety of platforms, including but not limited to: CVENT, individual event websites and event apps internal and external calendars, marketing websites such as GovEvents.com, Social Media, etc.
- Support the development of event scripts or “run of show”
- Order speaker gifts
- Support virtual webinars and meetings for speaker preparation, as assigned
- Support for speaker-related A/V requirements, including coordination with A/V team, development of lower thirds and screen warmers, and other elements such as Wordly and Slido QR codes
- Support, as needed, speaker/hosted delegate travel and funding for SOF events, inclusive of SOF Week
- Support in developing marketing materials in support of confirmed speakers
- Management of all speaker presentations and materials
- Where needed, assist with other tasks in support of the planning, organization, and execution of all Foundation events
- Set up event agendas with speaker listing on all GSOF event platforms
- Other event-focused duties as assigned
Desired Experience and Characteristics:
- 1-3 years of experience in a relevant field
- BA, AA, or Certificate in Communications or Hospitality
- Background with Special Operations and/or Military Experience
- Ability to attend meetings in the Tampa area
- Ability to manage time and work remotely
- Ability to work with a dynamic and fast-moving team
Desired Software Experience:
- Google Suite, especially Docs, Sheets, and Slides
- Canva
- Monday.com or similar task management software
- CVENT or similar event management software
- Microsoft Office 365
- Constant Contact or other Marketing Automation tools
- Impexium or other Association Management Systems (AMS)
