EFFECTIVE DATE: 13th April 2026
This Service Schedule ("Schedule") governs the provision of bespoke web design and development services by BatchHeader Ltd t/a EncodeDotHost ("EncodeDotHost"). This Schedule is incorporated into and governed by the Master Services Agreement (MSA).
Any specific project deliverables, exact page counts, timelines, and fees will be detailed in a separate, signed Statement of Work (SOW). In the event of any conflict between this Schedule and a SOW, the terms of the specific SOW shall prevail.

Standard Development Phases
Unless otherwise specified in the applicable SOW, EncodeDotHost delivers web design and build projects in the following standard phases:
- Phase 1: Discovery & UX Design: Kick-off discussions, sitemap creation, user journey mapping, and low-fidelity wire-frames for key pages.
- Phase 2: Visual Design (UI): Creation of high-fidelity mockups based on the Customer's branding. Design assets are presented for one (1) standard round of revisions per template before approval.
- Phase 3: Development & CMS Integration: Front-end coding and Back-end integration (e.g., WordPress, or Custom CMS) on a secure staging server.
- Phase 4: Content Population: Uploading and formatting the initial content provided by the Customer, up to the limits specified in the SOW.
- Phase 5: Testing & Launch: Browser testing, mobile responsiveness checks, broken link checks, User Acceptance Testing (UAT), and final deployment to the live domain.

Standard Exclusions (Out of Scope)
Unless explicitly defined as a deliverable in the signed SOW, the following services are NOT included in standard Web Design & Build projects:
- Copywriting, proofreading, or content creation.
- Custom photography, videography, or purchasing premium stock imagery.
- Advanced Search Engine Optimization (SEO) beyond basic on-page meta tags and standard technical best practices.
- Data migration from legacy systems or databases.
- Ongoing monthly maintenance, plugin updates, or hosting fees (these are governed separately under Schedule 1).

Customer Responsibilities & Dependencies
- EncodeDotHost’s ability to perform the Services and meet estimated deadlines relies heavily on the Customer's prompt cooperation. The Customer agrees to provide:
- High-resolution logos, brand guidelines, and colour palettes.
- Final, proofread text copy and images for all pages in a digital format.
- Access to the current domain registrar (DNS settings) and/or legacy hosting accounts.
- A single, designated point of contact for consolidating feedback and providing approvals.
- Delays: If the project timeline is delayed due to the Customer failing to provide necessary content, feedback, or approvals within a reasonable timeframe (typically 3 business days from a request), EncodeDotHost reserves the right to pause the project. EncodeDotHost shall not be liable for missed deadlines resulting from Customer delays.
- Stalled Projects: If the project timeline is delayed by more than 30 days due to the Customer failing to provide necessary content, feedback, or approvals, EncodeDotHost reserves the right to invoice the Customer for all work completed to date, and/or pause the project until the requested information is provided.
- E-Commerce Compliance: The Customer is solely responsible for their e-commerce store's legal compliance. This includes abiding by all applicable consumer protection laws, managing their own shipping and returns policies, and ensuring Payment Card Industry Data Security Standard (PCI-DSS) compliance for processing transactions.

Fees & Standard Payment Schedule
- Unless an alternative payment schedule is explicitly written into the SOW, standard web design projects are billed in the following milestones:
- 50% Deposit: Due upon signing the SOW. Work will not be scheduled or commence until this deposit is received.
- 25% Design Approval: Due upon formal sign-off of the Phase 2 Visual Designs.
- 25% Completion: Due upon completion of Phase 3 Development, prior to the site going live on the Customer's primary domain.
- Pre-approved project expenses (e.g., purchasing specific premium plugin licenses or stock images requested by the Customer) will be billed separately.
- Unless an alternative payment schedule is explicitly written into the SOW, standard web design projects are billed in the following milestones:

Acceptance Criteria (UAT)
- Upon completion of Phase 3 (Development), EncodeDotHost will provide the Customer with access to a staging or beta site for User Acceptance Testing (UAT).
- The Customer shall have a standard testing period of 1 business day (unless a longer period is specified in the SOW) to test the website and report any "Material Defects" (bugs or errors that prevent the site from functioning according to the agreed specifications).
- If the Customer does not notify EncodeDotHost of any Material Defects within this Testing Period, or if the Customer instructs EncodeDotHost to push the site to the live production environment, the Deliverables are deemed accepted by the Customer.

Change Control (Scope Creep)
- Any requests for new features, additional pages, or structural design changes after the relevant phase has been signed off are considered "Out of Scope".
- All Out of Scope requests must be submitted in writing. EncodeDotHost will evaluate the request and provide a fixed price quote or hourly estimate for the additional work via a "Change Request".
- No additional out-of-scope work will commence until the Change Request is agreed upon and signed by the Customer.
- Post-Approval Amends: If the Customer requests changes or revisions to materials (e.g., designs, layouts, or functionality) that they have already previously approved, EncodeDotHost reserves the right to charge for these amendments at our standard hourly rate.
