Refund & Return Policy

At EmCyte Corporation, we are committed to providing our customers with high-quality medical products and a reliable service experience. Please review the following updated return and refund policy carefully. These terms apply to all product returns and exchanges processed directly through EmCyte Corporation.


General Return Conditions

  1. Damaged Items
    Products that arrive damaged may be returned without incurring a restocking fee, provided they are unused and reported within 3 business days of delivery.

  2. Undamaged Returns
    For products returned undamaged and unopened, a 15% restocking fee applies and must be paid before processing the return. Products must be in original packaging and in resalable condition.

  3. Final Sale Items
    All sales are final. No refunds or credits will be issued for returned items. Approved returns are eligible only for replacement with the exact or equivalent product.

  4. Return Eligibility
    Returns are accepted only for products purchased directly from EmCyte Corporation. Products obtained through distributors must be returned in accordance with the distributor’s return policy.


Return Authorization Requirements

  1. RMA Number Required
    An RMA (Returned Merchandise Authorization) number is required for all returns. Returns submitted without an RMA number will be refused and returned to sender.
    To obtain an RMA number, please call our Customer Service Department at 239-481-7725.

  2. Return Shipping Instructions
    Once an RMA number is issued:

    • Customers will receive the following documents:

      • RMA Report (with assigned RMA#)

      • RMA Form QF-82-01-01

      • Return Shipping Label or Call Tag (only provided for defective or non-compliant items)

    • Ship returns to:

      Clearly indicate the RMA Number on the outer package and packing slip.

  3. Customer Shipping Responsibility

    • The customer is responsible for all return shipping costs for undamaged and out-of-warranty products.

    • EmCyte will cover return shipping only for approved damaged or defective items under warranty.


Replacement & Warranty Support

  1. Machine Repairs Under Warranty
    Machines under warranty that are deemed defective may be replaced temporarily with a new or refurbished unit until repairs are completed. The defective unit must be returned before the replacement is shipped.

  2. Irreparable Machines
    If a product under warranty is determined to be non-repairable, EmCyte will provide a new or refurbished replacement unit of equal value and function.

  3. Out-of-Warranty Items
    Customers are responsible for repair costs and round-trip shipping of products no longer under warranty.


Non-Returnable Products

The following items are ineligible for return under any circumstances:

  • Sterile disposable products

  • Opened or used disposable products

  • Expired disposable products

  • Custom-ordered or specially configured equipment


Return Process Checklist

To initiate a return:

  1. Call 239-481-7725 to speak with a Customer Service Representative.

  2. Provide the following details:

    • Sales Order or Purchase Order Number

    • Product Number

    • Lot Number

    • Expiration Date

    • Reason for return

  3. You will receive the RMA package with shipping documents.

  4. Securely package your item with the RMA documents and ship to the designated address.
