Conference Registration

Conference registration is now open.

How to register

All who wish to attend the conference must register and pay the registration fees via the conference registration page.

Each accepted paper should be covered by the registration of one of the paper co-authors. The registration fee must be paid within the deadline for final upload of accepted papers. Papers with none of the authors which is registered will not be included in the conference program.

Please note that the only payment method is via card payment, and that the payment is handled by is handled by SYMVOLI Conference & Cultural Management (PCO) in the Greece.

For all other participants, it is suggested to complete the regular registration within April 21st.

Full registrations include: 1 conference bag with proceedings, 1 banquet ticket, 2 daily coffee breaks, 1 ticket for the welcome reception, 1 ticket for the farewell reception, up to 2 papers uploads (the registrant must be a co-author of the associated paper(s); 6 pages/paper allowed, maximum 2 extra pages at additional cost).

Student registrations include: 1 conference bag with proceedings, 2 daily coffee breaks, 1 ticket for the welcome reception, 1 ticket for the farewell, up to 1 paper upload (the registrant must be a co-author of the associated paper; 6 pages/paper allowed, maximum 2 extra pages at additional cost). The student registration does not include any banquet ticket. Proof of student status is required during the registration process.

Early registrations: received by April 21st, 2025. Late fees apply after that date.

Student in-person registrations include: access to the conference venue, 2 daily coffee breaks, 1 lunch ticket per day, 1 ticket for the welcome reception, 1 ticket for the farewell reception, and up to 1 paper upload. Retiree in-person registrations include: access to the conference venue, 2 daily coffee breaks, 1 lunch ticket per day, 1 ticket for the welcome reception,  1 ticket for the banquet dinner, 1 ticket for the farewell reception, and up to 1 paper upload. For paper upload: the registrant must be a co-author of the associated paper(s); 6 pages/paper allowed, maximum 2 extra pages at additional cost.

Student status: If at the time of registration or at the time of initial submission of paper for review you were a “full-time student” at a recognized institution, you may register at a Student rate.

Retiree status: If at the time of registration or at the time of initial submission of paper for review you had retired or did not hold a full time employment, you may register at a Retiree rate.

VAT: 24% VAT is included in the registration fee.

Additional Fees:

  • Cost per paper for extra paper upload: €200
  • Excess Page Charges: €100 per page (maximum of two beyond the nominal six-page limit)
    To pay for excess pages, you must first complete the final submission information about the paper in your author workspace, and then return to registration. Without that step, the excess page fee will not appear in your cart
  • Guest Banquet ticket cost: €80

Registration and paper

Each accepted paper should be covered by the registration of one of the paper co-authors. The corresponding registration fee must be paid within the deadline of the final upload of the accepted paper. Accepted papers which are not associated to a registration of one of the co-authors will neither be included in the conference program nor in the proceedings.

Each full registration allows to upload 2 final papers maximum. Each student registration allows to upload up to 1 final paper. The registrant must be an author of all the papers associated to their registration.

Paper uploads in addition to those included with each registration are possible at an extra cost of €200 per paper. Each extra upload has to fulfill all requirements of a regular upload.

The final paper length is limited to 6 pages. A maximum of up to 2 extra pages (for a maximum length of 8 pages per paper) is allowed. Extra pages require the payment of over-length page fees at a cost of €100 for each extra page.

Extra banquet tickets

Extra banquet tickets can be requested at an extra cost of €100/person via the online registration system or onsite. Extra banquet tickets are subject to availability.

Pre-conference Workshop registration

Workshops will be held at the conference venue on June 24th, 2025, the day before the official opening of the conference. Advanced registration for pre-conference workshops can be done online via the conference registration system. Please note that workshops are: (a) subject to cancellation for lack of registrants, and (b) allow a maximum number of participants. The costs of attending a pre-conference workshop are: €100 for each full registrant; €50 for each student registrant.

In mid-May, proposers and registrants will be notified whether a minimum number of registrations has been achieved for their specific workshop. Registrants of canceled workshops will be given the possibility to register to another workshop at no additional cost, or to be refunded the original registration fee.

The costs of attending a pre-conference workshop are :  100 euros/140 euros (early/late) for Full In-person, and 50 euros/60 euros (early/late) Student/Retiree In-person.

Conference registration is a prerequisite for registering at a pre-conference workshop.

Invitation letters for visa or other uses

All authors of accepted papers will have the option to request an invitation letter via email with the subject “Invitation letter request NAME SURNAME”. The invitation letter can be used to obtain a travel visa if required. Please note that only conference registrants will be issued the standard invitation letter. We regret that we are unable to provide customized letters.

Cancellations and refunds

After uploading a final paper, no refund of the corresponding registration fee is possible (even if the paper is withdrawn). Cancellation and refund of registration fees that do not correspond to final paper uploads are possible, until 30th of April. Requests must be made via email at ecc2025@symvoli.gr with the subject “Cancellation ECC25 NAME SURNAME” at latest on the 30th of April. No refunds will be made after this date. Cancellations are subject to an administrative fee of 100 euros. Transferring a registration is possible in some circumstances. Please note that a student can transfer her/his registration only to another student. Please contact the secretariat via email at ecc2025@symvoli.gr for further information.

 

Force Majeure: Unexpected cancellation of the conference. The organising committee reserves itself the right to cancel without notice or compensation ECC25 in the event of force majeure cases (for example, but not limited to acts of nature such as fire, earthquake, hurricane, flood, war or terrorist attacks). In such cases, the organising committee is freed of all responsibility.

Limitation of liability. In the event of it being impossible to carry out the ECC25 for force majeure cases, so long as this arises from a cause not attributable to the organisers, the organisers shall only be obliged to reimburse the payments received subject to deduction of any costs it has incurred in preparing the event. This liability only extends to the payments made directly to the ECC25 and not to payments made by the attendees to the hotel or airlines.
