Our Use of Google User Data (Including Gmail Data)
Our application, Breadstack, integrates with your Google account to provide you with essential Ticket management functionalities. When you connect your Google account, we utilize Google API Services to access certain data from your Gmail service. Our collection, use, and transfer of information received from Google APIs will strictly adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Information We Access: When you grant us permission, our application accesses the following types of data from your Google Account, specifically from your Gmail service via the https://mail.google.com scope:
- Google User ID and Email Address: For identification, authentication, and linking your Gmail account to your Breadstack user profile.
- Gmail Content (full access via https://mail.google.com scope): This includes the content of your emails (body), their headers (sender, recipient, subject, date), attachments, labels, and message IDs. This comprehensive access is necessary to enable the core functionalities of our Ticketmanagement system.
How We Use Your Google User Data (Limited Use):
We use the data accessed from your Gmail account solely for the following specific, prominent, user-facing features and purposes directly within our Ticket management system:
- Ticket Creation from Emails: We access your received emails to allow you to create new support tickets directly from them. This involves reading email content, subject, sender, and attachments to populate the Ticketdetails.
- Email Reply Management: When you reply to a Ticket within our system, we use your Gmail access to send that reply to the original sender of the email that generated the ticket.
- Updating Existing Tickets: We monitor for new replies to email conversations associated with existing tickets. When new replies are received in your Gmail, we automatically add them to the relevant Ticket to maintain a complete communication history.
Important Note on Limited Use: Our application’s use of Gmail content is strictly limited to providing these clearly defined, user-facing Ticket management functionalities. We do not use this data for:
- Developing, improving, or training generalized artificial intelligence or machine learning models.
- Advertising or serving personalized ads.
- Selling, sharing, or transferring data to third parties for their independent use.
How We Store and Secure Your Google User Data
We do not store all your emails from your Gmail account on our servers when you connect your account. Instead, we only store specific emails that are related to tickets that you choose to create or manage within our system. This stored data includes the email content, headers, and attachments directly associated with these tickets.
Regarding Data Security: We are committed to protecting your data. All sensitive user data, including the email content related to your tickets, is encrypted at rest when stored in our databases. We achieve this by utilizing Google Cloud Key Management Service (KMS) to manage and perform the encryption of your email content. This ensures that your data is securely stored and that the encryption keys are managed by Google’s highly secure infrastructure.
Furthermore, all data transmitted between your device and our servers, as well as between our internal systems (including communication with Google APIs and our database), is protected by industry-standard TLS/SSL encryption (HTTPS). This safeguards your information from unauthorized access during transit.
Access to these stored emails and tickets within our system is strictly restricted to the user who created them and has active login credentials for their Breadstack account. We implement robust access controls to ensure that only authorized users can view their respective Ticketdata. We continuously implement and update security measures to protect your personal data.
Sharing Your Google User Data:
We value your privacy. We do not share any of your Google user data, including your Gmail content or associated Ticket data, with any third parties for their independent use. Data is processed internally within our system solely to provide the Ticketmanagement features you utilize.
Your Control and Choices:
You have full control over the permissions granted to our application. You can review and manage these permissions by visiting your Google Account settings. You can revoke our access to your Google Account at any time through the Google Security Checkup page (https://myaccount.google.com/permissions). Please be aware that revoking permissions will prevent our application from accessing your Gmail, which will disable the email-to-Ticket creation, reply sending, and Ticket update features.
