Managed IT services handle continuous operations, monitoring, patching, helpdesk, and security. IT projects are discrete engagements with a defined scope, budget, and end date: a network redesign, server migration, phone system replacement, or cloud transition. Most organizations need both, but the distinction matters for budgeting and staffing. Recurring support costs and one-time project investments belong in separate budget lines and are evaluated differently.

The core question is whether the project requires skills, bandwidth, or experience the internal team doesn't have. A routine hardware refresh is different from a multi-site network deployment or an ERP migration. Projects with tight timelines, regulatory implications, or dependencies on unfamiliar technologies carry more risk when staffed entirely with generalists. Bringing in specialists for those components reduces execution risk without requiring a permanent hire.

Structured cabling is the physical network infrastructure, copper and fiber runs, patch panels, cable management, and terminations, that underpins every connected device in a building. Poor cabling is one of the most common causes of intermittent connectivity problems, throughput limitations, and troubleshooting difficulty. A properly designed and documented cabling installation follows TIA-568 standards, supports current bandwidth requirements, and can accommodate future growth without rewiring. It's substantially cheaper to get it right during a build-out or move than to remediate afterward.

Not always, but it often exposes limitations. VoIP traffic is latency-sensitive in a way that most other business applications aren't, jitter and packet loss that users never notice in standard data traffic become audible in voice calls. Before deploying VoIP, the existing network should be evaluated for Quality of Service (QoS) configuration, switch capacity, and whether the internet connection provides adequate bandwidth and reliability. Network upgrades, if needed, are typically scoped as part of the same project.

Yes, and phasing is standard practice for projects touching production systems. A network migration, for example, can be staged by floor, department, or location rather than executed as a single cutover. Phasing extends the project timeline but reduces the blast radius of any single issue. For organizations where downtime has direct revenue impact, healthcare, financial services, manufacturing, weekend and after-hours execution windows are scheduled during the planning phase, not as an afterthought.

A straightforward network deployment for a 25-75 seat office, switches, wireless access points, firewall, server rack, and cabling, typically takes 4-8 weeks from initial site survey to fully operational status. That timeline includes cabling installation (which often requires scheduling around building management), equipment procurement lead times, and configuration and testing. Larger environments, multi-site projects, or those with security or compliance requirements add complexity and extend timelines proportionally.

At minimum: network diagrams reflecting the final installed state, IP addressing and VLAN documentation, equipment inventory with serial numbers and firmware versions, vendor credentials stored securely, and any relevant licensing information. For cabling projects, as-built diagrams showing cable runs and termination labels should match what was physically installed. Organizations that skip post-project documentation consistently spend more time and money on future projects and troubleshooting because their technicians are working from outdated or nonexistent records.

Single-point accountability significantly reduces coordination failures on complex projects. When one provider manages the project and coordinates specialty vendors, cabling contractors, ISPs, telecom carriers, hardware vendors, the organization has one escalation path rather than three simultaneous conversations about whose scope a problem belongs to. For projects involving regulatory requirements or strict timelines, project management rigor, written scope, milestone tracking, change control, is worth the overhead it adds.

Any project that changes how data is stored, transmitted, or accessed in a regulated environment should include compliance review before implementation, not after. Migrating to a new cloud platform, deploying a new EHR, restructuring network access controls, or changing backup architecture can all affect an organization's compliance posture under HIPAA, PCI DSS, NIST 800-171, or other applicable frameworks. Discovering a compliance issue after a system is in production is significantly more expensive than building requirements into the project scope upfront.
