  • Sometimes, THE WAY you write words matters just as much as WHAT you write. Oops, forgot Caps Lock 😅 That’s why WProofreader’s Style guide lets you create case-sensitive rules to catch exactly the patterns you care about. Case-sensitive rules watch capital letters closely. The text has to match the pattern exactly, including uppercase and lowercase letters. This comes in handy if you want to make sure brand names, titles, or key phrases always look the same. For example, if you set a pattern as “well-known” in lowercase, WProofreader will flag it anywhere it appears—“well-known,” “Well-Known,” or “WELL-KNOWN.” But if you make it case-sensitive and write “Well-Known,” only that exact capitalization will trigger a warning. Case-sensitive rules give you precise control, keeping your writing consistent and professional without guesswork.   • Corporate style isn’t always about what your team wears 👔 It shows up in the way your team writes. Maybe you stick to strict Oxford style, skip long dashes so your text doesn’t feel AI-generated, or drop industry-specific jargon that only makes sense to your team. Problems start when these texts go through regular spell checkers. They follow universal rules and try to “fix” what your team considers normal. That highlights the right words as mistakes, frustrates your team, and eventually makes the spell checker basically useless. WProofreader lets you ignore generic rules and set your own. Using Style guide Builder, you lock in corporate rules for everyone, add internal terms, and decide what counts as a mistake in your context. You can create custom rules in the WProofreader admin panel, under Style Guide. Follow these steps: 1️⃣Define patterns the system uses to spot mistakes. 2️⃣Add replacement suggestions if needed. 3️⃣Add a description of the rule if needed. 4️⃣ If necessary, add context to activate the rule..   • WProofreader’s Style guide works a bit differently depending on whether you use the cloud or run it on your own servers. 📌 If you use the cloud version, you manage your style rules through the API. You can create new rules, get one or all rules, update rules, or delete rules you don’t need. Cloud rules apply to all languages in your subscription, so you don’t have to set them up for each language separately. 📌 If you use WProofreader on-prem, you have more control. You can manage rules through the API like cloud users, or you can edit the rules directly in server files. On-premise lets you apply rules to all languages, or you can make rules specific to a language so they only show up when that language is selected. No matter the setup, you stay in control of your style rules and can make sure they fit how your team writes.     Today we’re walking you through the Style guide feature in WProofreader and showing how it works in real writing. It’s a set of core rules that works for everyone right out of the box. The Style guide focuses on how your words come across to your readers. It helps you stay in control of tone while keeping your message clear. It spots wording related to racial or ethnic insults, strong profanity, slang, and phrases that can sound discriminatory or out of place in professional communication. It flags language that can damage trust or distract the reader before the text goes live. We put a lot of focus on inclusive language. WProofreader points out where more neutral wording works better, supports LGBTQIA inclusive language, and helps avoid gender-coded expressions that feel outdated or exclusionary. Sometimes correctness alone is not enough. Readability can matter just as much. That is why the Style guide includes rules like Tall Man Lettering for medical drug names. This approach improves clarity in places where a small mistake can lead to serious real-world consequences. Our linguists create core rules for each language separately, with local slang and sensitive terms in mind. That’s how we support English, French, German, and Spanish today. At the same time, some rules stay universal. For example, rules related to Ukrainian geographic names apply across all language groups and remain active regardless of the selected language. If your team needs more control, you can build on top of these core rules with your own custom Style guide and define what really matters in your writing. Each user can also turn Style guide suggestions on or off in the WProofreader interface without affecting others.
