Step-By-Step Procedure to Migrate Your Mailbox Data

Step-1

Download the DRS Email Migration Software. Then, install the application and run it as administrator.

Step-2

In the first panel of the tool, you will see two source options at the top: File Format and Email Clients. When you have to backup or migrate files from the system, choose File Format.

Step-3

Select the Email Client radio button, to migrate directly from the Email Client. Click Continue to proceed.

Follow the steps below to backup the PST file to PDF:

Click on the PST icon on the left side of the panel.

Next, click on Continue to proceed further.

Click on the Select Files/Select Folder button to add desired PST files from your system.

Step-7

Locate and select PST files on your system. Tap Open to add files to the tool and then click on Next.

Once you receive “Your File is imported Successfully. Please Expand the Tree Hierarchy.” Click Ok.

Step-9

Further, expand the tree hierarchy to preview PST file content and associated attachments. Here you can also check only the specific folder you wish to migrate. Then, click on Next.

Expand the list of file formats, and choose PDF as the saving option.

Step-11

Further, for smooth conversion and quick migration, you can add the following filters:

  • Remove Duplicate Mail on the basis of To, From, Subject, BCC, and Body to prevent migration of duplicate emails.
  • Opt for the Save in Same(Source and Destination Folder are Same) to save the resultant file and the source file in the same location.
  • Tick the Maintain Folder Hierarchy option to keep the folder hierarchy of your mailbox intact.

Step-12

If you have to manage attachment files within PST, you can choose either of three:

  • Save Attachments Separately to save attachments in a separate folder.
  • Migrate or Backup Emails without Attachment Files to exclude migration of attachments.
  • Convert Attachments to PDF format creates a separate PDF file containing attachments.

Step-13

You can also choose additional filters:

  • Date Filter: Allows you to filter emails between specified date ranges and migrate them exclusively.
  • Naming Convention: You can choose to save PST file data in any of the given formats.
  • Custom Folder Name: Define the desired name of the folder where the resultant file will be saved.

Step-14

To specify a saving location for the resultant folder, click on the Path to Save button.

Step-15

Click on Convert to begin the PST to PDF Conversion.

Once the conversion is complete, click OK.

Follow the steps 1 to 9 as stated above. Further, continue from step 17 below to migrate the PST file to Office 365:

Tap on the Email Clients radio button. Expand the list of email clients and choose Office 365 as the destination.

To log in using Modern Authentication, enter your Office 365 User ID and click on Sign In. If needed enter the password and once Authentication is successful, return to the tool.

Note: You must be logged in to your Office 365 Account on your system.

Step-19

You can also log in using your Client Secret ID. You need to enter the Application (Client) ID, Secret Value, Azure-Admin-ID, and Tenant ID.

Step-20

Select the following options if required:

  • Tick the Remove Duplicate Mail on the basis of To, From, Subject, BCC, and Body features to prevent the migration of duplicate emails.
  • Opt for the Maintain Folder Hierarchy option to keep your mailbox folder hierarchy intact.
  • By choosing Migrate or Backup Emails Without Attachment Files, you can prevent the migration of attachments.

Step-21

Select Saving options in Office 365: Mailbox, Public Folder or Archive.

You can opt for other options including:

  • Use Date Filter to migrate emails lying between particular dates.
  • Specify the desired folder name where migrated data will be saved in Office 365.

Click on Convert to begin migrating PST to Office 365.

Follow the steps 1 to 3 as stated above. Rest do as directed below:

Choose Office 365 as the source email client.

Step-25

Choose either to login using Client Secret ID or Modern Authentication. Here we will login using Modern Authentication.

Enter Office 365 User ID and click on Sign In. Once Authentication is successful, return to the tool. You have successfully logged in to your Office 365 account.

Step-27

Choose preferred Office 365 Mailboxes for backup or migration: Primary Mailbox, Public Folder, and Online Archive. Click on Next.

Now, you can see all the root folders of Office 365. Select the folders you want to migrate. Click Next.

Step-29

Here, you get two destination options: Save in File Format and Migrate in Email Clients. Since you have to migrate Office 365 to Gmail, select Migrate in Email Clients option.

Step-30

By default, Gmail is selected. If not, expand the list of Email Clients and choose Gmail from the available options.

Enter your Gmail email ID and App-Specific Password. Click on Sign In. You can also tick the ‘Login with Modern Authentication’ option to login to Gmail.

From the given additional filters, choose:

  • Tick the Date Filter and specify the Start Date and End Date. It enables the migration of only those emails lying between set dates.
  • Select the Migrate or Backup Emails without the Attachment files option to exclude the attachment files and export emails only.
  • Skip Duplicate Email(s) exclude all the duplicate mailbox items of your Office 365 account on basis of To, From, Subject, Bcc, and Body.

Step-33

You can also opt for other options, such as:

  • To clear up your mailbox server space after creating the backup, opt for the Free Up Server Space option.
  • Choose Save Contacts in CSV Format option to save Office 365 contacts in separate CSV.

Once, all necessary selections are done, click on Next.

Step-34

At last, click on the Download button to start the migration of your Office 365 emails to the Gmail mailbox.

Follow steps 1 to 3 as stated above. Rest follow the steps below:

From the list of Email clients to the left of the screen, choose Gmail.

Step-36

To Backup/Migrate only mails from your Gmail account, choose the Gmail(Backup Mails Only) option. Whereas, to migrate data from other Google services as well choose Google Workspace(Backup Mails, Contacts, Calendars, Drive, Photos).

Step-37

Here, we choose Gmail (Backup Mail Only). Enter your Gmail Username and Third-party app password in the respective fields. Click on the Sign In button.

Step-38

Wait a while as the tool is accessing your Gmail mailbox items. After that, from the list of all folders, tick the mailbox folders you want to backup and click on the Next button.

Step-39

Now, by default Save in File Format option is selected. By default, the PST option is selected. But if not, expand the list of resultant file formats and choose PST from the available options.

Step-40

Opt for additional filters to make migration smooth and precise:

  • The Skip Duplicate Email(s) allows users to eliminate duplicate emails from migration on the basis of To, From, Subject, Bcc, and Body.
  • If you want to break the output PST file into multiple smaller files, tick the Split Resultant PST option and select the size limit.

Step-41

You can also opt for other options, which are:

  • The Migrate or Backup Emails Without Attachment files option will export emails from selected mailboxes and leave attachment files.
  • Choose Free Up Server Space to delete emails from the Server after the migration is complete.

Step-42

Apply the Date Filter option and define the date range by entering the Start Date and End Date. This will migrate particular emails of a specified date range. Then, press Next.

Step-43

To save the output file at a particular location, click on the Save Path button and define the Destination Path. Further, click on Download to start the Gmail to PST Migration

After finishing the conversion, click on OK.
