Contracts can be uploaded in multiple ways. One option is to use the contract import button on the left side of the screen and to drag and drop PDFs into it. When clicking on “via Upload’ it opens a window

You can then upload one or multiple contracts via drag and drop or you can select them from your computer. For the second option you need to click within the blue zone (marked in the screenshot below) to open your explorer (on Windows) or the finder (on MacOS) to select the PDFs you want to add.

QES Signing Process (Recipient) – Step by Step

If a document has been sent to you from ContractHero for a Qualified Electronic Signature (QES), you sign it via a signature link. Depending on the signature method, identity verification is carried out, for example via Adacom (including a one-time password (OTP) via SMS and ID verification via smartphone — no video call, only a check to confirm you’re a real person).

Requirements

Access to your email inbox (signature invitation)
A smartphone with a front-facing camera
A phone number that can receive SMS (for OTP)
A valid ID card or passport (depending on the country / issuing country)
Permission for camera & microphone in your mobile browser (for authenticity verification)
Do not leave the browser during the signing process to avoid an unnecessary restart.

Step 1: Open the signature email

Open the email with the signature request. Subject: “Request to sign the document …” + document name
In the email you will see:
- Sender (name + email address, as stored in ContractHero)
- Sender’s message (from ContractHero)
Click “View document”.

Step 2: Open the document & start signing

After clicking “View document”, the document opens.
You will see the document and the sender’s message.

How to Request an Electronic Signature in ContractHero (FES & QES)

With ContractHero, you can request one or multiple signatures per contract. The signing process is initiated via an email link—signers do not need their own ContractHero access.

Requirements

The contract (including the document) is available in ContractHero.
You have the necessary permissions in the workspace / on the contract to start signature requests.

Step 1: Start the signature process

Open the relevant contract.
In the right-hand sidebar (top right), click “Request signature”.
A new window opens:
- Required: Write a message to the signers (this will appear in the email).
- Optional: Enable QES (if required for this contract).

Step 2: Configure the signers

Enter the participants (name + email address).
Optional:
- Add additional signers
- Define the signing order (who signs when), or choose parallel signing (parallel signing is only possible for FES; for QES, signing is always sequential)
- Add CC recipients (for information only, no signature required)
- Select the language of the signing process (DE/EN)
Click “Start”.

Step 3: Place signature fields in the document

In the next window, open the document preparation view.
Place the required fields in the appropriate locations, e.g.:

Prerequisites for Linking Documents To link documents (attachments) to a contract, the files must already exist in ContractHero. The “Link” function allows you to assign these existing files to specific contracts efficiently. Typical use cases include: A contract was uploaded without its attachment — the document was added later.

The same attachment is relevant to multiple contracts (e.g. general terms and conditions, framework agreements).

An attachment was accidentally uploaded separately from the corresponding contract.

Step-by-Step Guide: Linking Attachments in the Platform Start by opening the parent contract from the contract overview — the one you want to link another agreement or document to. Once opened, you'll see the contract detail view with all key information.

On the right-hand side, you'll find the action panel. Click the “Relations” button (in the German interface: “Verknüpfungen”). This opens a dialog or side panel where you can create relationships between contracts.

How can task automations be set up and managed?

We can find the settings for “Task automations” by clicking on "Settings" and then on "Automation." Here, we see an overview of the automations we have created so far.

If we want to create a new automation, we click on "Add Automation" in the top right corner.

A new window opens where we can first name the automation and select the category to which this automation should apply. Depending on which category or categories we select, this automation will be applied to all contracts that fall within those categories. Next, we choose a due date. Similar to tasks at the contract level, we can select between the start date, end date, and termination date. We can set a reminder before this date, ranging from one day up to several years. We can also activate the option for this reminder to repeat automatically and set a reminder before this date as well.
