Frequently asked questions

Everything you need to know before getting started.

I already have Google Search Console and Analytics — why do I need Occasio?

GSC shows you which queries drive clicks. GA4 shows you session counts. But neither tells you which post to update this week, which keywords that post is missing, or the exact window when your seasonal content peaks. Occasio sits on top of your Google data and adds a prioritisation layer: staleness scores, seasonal timing, per-post keyword gaps, CTR gap detection, and AI-powered briefs — so you're not just reading numbers, you're following a clear weekly action plan.

Do I need a credit card to start the free trial?

No credit card required. Sign up and start your 7-day free trial instantly — we won't ask for payment details until your trial ends.

What happens after the 7 days?

At the end of your trial, you can choose to subscribe at $55/month (or $550/year). If you don't subscribe, your account moves to read-only mode — your data stays safe and no charge is made.

Can I cancel anytime?

Yes. Cancel from your account settings at any time — no need to contact us. Your access continues until the end of the current billing period, with no further charges.

How long does setup take?

Most users are fully set up in under 5 minutes. Install the WordPress plugin, connect Google (read-only), and your dashboard is live.

Does it work with any WordPress site?

Yes — Occasio works with any self-hosted WordPress site running the Occasio Connector plugin. There's no minimum post count, and multi-site support is available.

What are credits used for?

Credits power features that pull live data from third-party providers — things like keyword search volume, monthly trend data, and backlink metrics. They keep that data sustainable without us baking the cost into a higher base price. Repeat lookups on the same data pull from cache and never use credits, so your monthly credits go a lot further than you might expect.

What data do you access from my Google account?

Occasio requests read-only access to Google Search Console and Google Analytics 4 for properties you choose. We never write to your Google data and never share it with other users.

Is my content data visible to other users?

No. Your WordPress posts, keyword data, analytics, and all account data are completely private. Nothing you connect is ever shared with any other Occasio user.

Your next seasonal peak is coming.

Getting Started with Occasio

This guide walks you through connecting your WordPress site, linking your Google accounts, and running your first content audit. Most users are fully set up in under 10 minutes.

1

Install the Occasio Connector plugin

The connector plugin lets Occasio sync your WordPress post library automatically. Without it, Occasio has no content to audit.

Follow the Plugin Installation guide to install it — it takes about 2 minutes. You'll get an API token at the end that you'll need in the next step.

2

Add your WordPress site in Occasio

Head to Settings and add your site:

  • Enter your WordPress site URL (e.g. https://yoursite.com)
  • Give your site a name so you can identify it in the sidebar
  • Paste the API token from the Occasio Connector plugin
  • Click "Save" — Occasio will test the connection and confirm it works
3

Connect Google Search Console (recommended)

Google Search Console gives Occasio real click and impression data for every post — so your content audit scores are based on actual search performance, not estimates.

In Settings, click Connect Search Console. You'll be redirected to Google to grant read-only access to your properties.

  • Occasio only requests read-only access
  • Your data is never shared with other users
  • You can disconnect at any time from Settings or from your Google account
4

Connect Google Analytics 4 (optional)

GA4 adds session and user traffic data to the Analytics tab and to individual post detail pages. This lets you see exactly how much traffic each piece of content drives — not just search impressions.

In Settings, click Connect Analytics and follow the same OAuth flow. Once connected, the Analytics tab will populate with data within a few minutes.

5

Run your first content sync

Once your site is connected, Occasio will sync your WordPress posts automatically. After the sync completes, you'll see all your posts in the Content Audit with:

  • A priority score (0–100) based on content age, traffic trends, and seasonal timing
  • A staleness level: Low, Medium, High, or Critical
  • GSC click and impression data (if Search Console is connected)
  • Keyword opportunities for each post
6

Explore your Dashboard

Your Dashboard is the command center for your editorial workflow. It shows posts whose seasonal peak is approaching, upcoming reminders, your total post count, and recent keyword searches.

Installing the Occasio Connector Plugin

The Occasio Connector is a lightweight WordPress plugin that syncs your content library to Occasio. It uses a read-only REST API token — it never modifies your posts or data.

1

Download the plugin from Occasio

Log in to your Occasio account and go to Settings. Click Add Site or Get Plugin to download the latest version of the Occasio Connector plugin (.zip file).

Always download the plugin from your Occasio account — do not install it from third-party sources.
2

Install the plugin in WordPress

In your WordPress admin panel: go to Plugins → Add New, click Upload Plugin at the top, choose the occasio-connector.zip file you downloaded, click Install Now, then Activate Plugin.

3

Generate your API token

After activating the plugin, go to Settings → Occasio Connector in your WordPress admin sidebar. Click Generate Token. A unique API token will be created for your site. Copy it — you'll paste it into Occasio in the next step.

Keep your token private. It grants read access to your post data. If you believe it's been compromised, click Regenerate Token in the plugin settings — your old token will immediately stop working.
4

Add the token to Occasio

Back in your Occasio account, go to Settings and click Add Site (or edit your existing site). Enter your WordPress site URL, give it a name, paste the API token from the plugin, then click Save & Test Connection.

5

Trigger your first content sync

Once the connection is confirmed, Occasio will automatically schedule a sync of your WordPress posts within a few minutes. You can also trigger one manually from Settings by clicking Sync Now.

The Occasio Connector reads your post titles, URLs, categories, publish dates, and modification dates. It never reads post passwords, user passwords, payment data, or any non-post content. It does not write to your WordPress database.

Having trouble?Common issues: make sure your WordPress REST API isn't blocked by a security plugin (e.g. Wordfence), and that your site URL doesn't have a trailing slash mismatch. Email us at hello@getoccasio.app and we'll help you get connected.

Managing Collaborators

Collaborators let you invite team members, editors, or clients to access your Occasio account without sharing your login. Each collaborator gets their own sign-in and can only see or do what their role allows.

The two roles

Full Access

  • View all content, reports, and analytics
  • Run content syncs and audits
  • Add notes to posts
  • Use the keyword planner and calendar

Read Only

  • View all content, reports, and analytics
  • View keyword searches
  • View (but not add) notes
  • Cannot run new keyword searches
  • Cannot trigger syncs or audits
1

Open the Collaborators panel

Go to Settings and scroll down to the Collaborators section. This is only visible to the account owner — collaborators themselves won't see this panel when they log in.

2

Invite a collaborator

Click Add Collaborator and fill in their name, email address, and role (Full Access or Read Only). Click Send Invite. Occasio generates a unique invite link and sends it to their email address. The collaborator will appear in your list with a Pending status until they accept.

No Occasio account yet? That's fine — when the collaborator clicks the invite link, they'll be prompted to create a free Occasio account. They don't need a paid subscription; access is through your account.
3

What the collaborator sees

The collaborator receives an email with a unique invite link. When they click it, they'll sign in or create an Occasio account using the invited email address, and be automatically connected to your account. Their status changes from Pending to Active once they've accepted.

4

Change a collaborator's role

In the Collaborators panel, find the person and click the Edit button next to their name. You can switch them between Full Access and Read Only at any time — the change takes effect immediately on their next page load.

5

Remove a collaborator

Click the Remove button next to the collaborator. Once removed, they lose access immediately, their invite link is invalidated, and their entry is removed from your list. If you want to give them access again in the future, simply re-invite them.

Glossary

A reference for every badge, icon, score, and metric you'll encounter in Occasio — primarily in the Content Audit.

Staleness Levels

Staleness measures how long it has been since a post was last updated. The clock starts from the post's last modified date in WordPress.

Critical

The post has not been updated in 2 or more years. Content this old is likely to have outdated information, declining rankings, and missed keyword opportunities. Prioritize these posts for a full refresh.

High

The post has not been updated in 1 to 2 years. Still worth addressing soon — a meaningful update can recover search positions before they fall further.

Medium

The post has not been updated in 6 to 12 months. Not urgent, but queue it for a refresh, especially if a peak season is approaching.

Low

The post was updated within the last 6 months. Monitor it but no action is needed right now.

Aging (Growing)

The post is Critical or High staleness, but traffic is currently growing (clicks up more than 20% vs. the previous period). Only update if you can strengthen it without disrupting what is already working.

Priority Score

A number from 0 to 100 that tells you how urgently a post needs attention. It combines staleness, traffic trends, search performance, and seasonal timing. Higher scores mean act sooner.

76–100 — Critical

Update as soon as possible.

51–75 — High Priority

Update soon — meaningful opportunity or declining performance.

26–50 — Medium Priority

Queue for a refresh in the near term.

0–25 — Low Priority

No immediate action needed.

Score factors: Staleness (10–40 pts), Traffic loss (0–25 pts), CTR gap (+15 pts), Featured snippet opportunity (+10 pts), Impression volume (3–10 pts).

Traffic and Search Console Metrics

Clicks

The number of times someone clicked through to your post from a Google search result in the last 28 days.

Impressions

How many times your post appeared in Google search results in the last 28 days, whether or not it was clicked. High impressions with low clicks is the CTR gap signal.

CTR (Click-Through Rate)

Clicks divided by impressions, expressed as a percentage. A post ranking in position 1 typically has a CTR of 25–35%. If your CTR is well below that for a high-ranking post, the title or meta description may need attention.

Position

Your average ranking position in Google for all the queries that triggered this post. Position 1 is the top result. Position 10 is the last result on page one.

Delta

The percentage change in clicks compared to the equivalent previous 28-day period. Green means traffic is growing; red means it is falling; grey means no meaningful change.

Keywords and Credits

Live Data Credits

Credits are consumed each time Occasio requests fresh keyword data from third-party data services. One keyword idea search costs 5 credits; a search volume lookup costs 1 credit. Credits reset on the first of each month. Repeat searches on the same keyword within the same session pull from a local cache and are always free.

Search Volume

The average number of monthly searches for a keyword over the past 12 months. Used to gauge the size of the audience for a given topic.

Difficulty

A rough indicator of how competitive a keyword is in organic search. Low difficulty means fewer strong pages are ranking for it — an easier opportunity.

Keyword Cannibalization

When two or more posts on your site are targeting the same keyword, they compete against each other in search results — splitting authority and reducing the chance that either ranks well.

Seasonality

Peak Season

The season when search interest for a post's primary topic is historically highest — Spring, Summer, Fall, or Winter. Occasio detects this from keyword data and uses it to time your refresh recommendations.

Season Approaching

A post is marked as season approaching when its peak season falls within the next three calendar months. This triggers the "Refresh before [Season]" recommended action.

Year-Round

Topics with consistent search interest throughout the year. No seasonal urgency applies — these posts are scored purely on staleness and traffic signals.

Troubleshooting

Common errors and how to fix them — organised by where the problem occurs.

Sync & Content Audit Errors

I'm getting a 403 Forbidden error during sync

A 403 means something on your WordPress server is actively blocking Occasio's requests. First check for a WordPress security plugin (Wordfence, iThemes Security, All-In-One Security, WP Cerber) and temporarily deactivate it to test. If it works, whitelist the path /wp-json/occasio-connector/v1/posts or add Occasio's user agent Occasio/1.0 to the allowlist.

If your site is behind Cloudflare, go to Security → WAF → Custom Rules, create a rule with the expression http.user_agent contains "Occasio", set the action to Skip (all custom rules and all managed rules), save and deploy, then retry your sync.

I'm getting a 401 Unauthorized error during sync

A 401 usually means the site URL saved in Occasio doesn't exactly match your actual WordPress address. Open your WordPress site in a browser, copy the URL exactly as it appears, go to Settings → Sites in Occasio, paste the URL, remove any trailing slash, save and retry.

Sync fails with "Check that the plugin is active, the token is correct, and the site is reachable"

Check that the Occasio Connector plugin is active in WordPress Admin → Plugins. Copy the API token fresh from the plugin settings and paste it into Occasio. Confirm your security plugin isn't blocking the WordPress REST API for logged-out users.

Sync fails with "returned an HTML page instead of JSON"

A caching plugin (WP Rocket, LiteSpeed Cache, W3 Total Cache) may be serving a cached HTML page in response to REST API requests. Temporarily deactivate your caching plugin, retry the sync, then re-activate it. Also check if your site is in maintenance mode.

My sync completes but fewer posts show up than I have on my site

Check Settings → Sites for any category exclusions. Occasio only syncs published posts — drafts, scheduled, and private posts are excluded. If your site has more than 2,000 posts, you'll need the Occasio Connector plugin (which streams all posts without pagination limits).

Sync works but my GSC data isn't showing

Confirm the Search Console property URL in Occasio Settings exactly matches the property URL in Google Search Console (including www, trailing slash, and protocol). If you see "quota exceeded", wait until the next day and sync again.

Keyword Search Errors

I searched a keyword but see no data / empty results

Very low volume keywords have no measurable monthly search volume — try a broader variation. Also check that the location and language selectors match your target audience. Very recently coined terms may not yet have enough search history.

I've used all my keyword search credits for the month

Monthly keyword credits reset on your billing anniversary date, not the 1st of the calendar month. You can check remaining credits in the sidebar. Repeat searches on a keyword you've already looked up are always free — they pull from a local cache and don't count against your credits.

Connection & Login

My Google account shows as disconnected after reconnecting

Go to myaccount.google.com/permissions and remove the Occasio entry. Return to Occasio Settings and click Connect Google again, completing the Google consent screen and granting all requested permissions.

I can't sign in / my session keeps expiring

Clear cookies for occasio.digital in your browser settings, then sign in again. Try signing in in a private/incognito window to rule out extension interference. If you signed up with Google, you'll need to continue using Google sign-in.

Still stuck?Email us at hello@getoccasio.app with your site URL and a brief description of the error — we typically respond within one business day.
