This AI Usage Policy (“Policy”) outlines how Maths Copilot (“we”, “our”) uses artificial intelligence (AI) features embedded in the Service. By accessing or using any AI-powered tool offered through our platforms, you consent to this policy.

📌 Scope of AI Features

We now integrate the following AI-powered functionalities:

• Chat Interaction: Conversational assistant to support learning and answer maths questions.
• Image Generation: AI-generated visuals or diagrams based on user input.
• Video Transcript Generation: Automated transcription of videos uploaded by users.
• Audio Generation: Conversion of text or transcripts into synthetic speech audio.

Each feature is designed to assist users in learning, teaching, or sharing maths content more effectively. These outputs are generated in real time and are based on user-supplied inputs and system algorithms.

Inputs You Provide to the AI System, such as:

• Questions, prompts, or conversation history in the chat interface.
• Prompts used for image generation.
• Uploaded video/audio links for transcript creation.
• Text content or script submitted for audio synthesis.

Usage and System Data, including:

• Time, date, and usage logs of AI features.
• Performance metrics (e.g., response time, error rates).
• Non-personal system logs (e.g., IP, browser, device data; for diagnostics and improvements).

We DO NOT collect or process sensitive personal data (e.g., health, religion, race, financial information) through AI features unless you explicitly provide it. Any such data is processed solely to generate output and may be stored temporarily for functionality or debugging.

🛠️ How AI‑Generated Content Is Used

• Chat Replies: Support learning; may include reasoning or example solutions.
• Generated Images: Used to illustrate concepts; shared within your session.
• Video Transcripts: Provide text output for accessibility, summarisation, or translation.
• Audio Output: Synthesised speech made from text or transcripts for accessibility and presentation.

All AI-generated outputs are considered educational and illustrative tools. They may contain inaccuracies. Users are responsible for verifying results before relying on them academically.

🔒 Storage, Security & Retention

• User Inputs: Retained temporarily (up to 90 days) for service improvement/debugging.
• Generated Outputs: Retained only as long as needed (up to 90 days); session outputs may be deleted upon session end.
• Security: Data encrypted in transit and at rest. Access is restricted to authorised personnel.

🧒 Children’s Data Considerations

• For school-linked accounts, the school/teacher is the data controller.
• For independent accounts, Mr W’s Lab Ltd acts as the data controller under legitimate interest for education.
• No personal contact info (email, phone) is required or stored.

📣 Transparency & Disclosure

• AI-generated content is clearly labelled.
• Disclaimers are shown on potentially inaccurate/sensitive content.

⚖️ Limitations & Your Responsibilities

• Accuracy: AI outputs are suggestions, not guaranteed correct answers.
• Appropriate Use: Do not submit sensitive or confidential data.
• Abuse or violations may result in restricted access to AI services.

🛑 Liability

• No liability accepted for high-stakes use of AI outputs.
• We may modify or suspend AI services at any time with notice.

📄 Your Rights & Controls

• Request deletion of AI inputs/outputs via support.
• Access or export AI data on request.
• Under-16s must contact a school admin or teacher for data requests unless using an independent account.
