Using Reports for Invoicing

Timesheets Report

ProjectManager has built-in reports such as the timesheets report that enable you to report on tasks and hours worked for selected users and projects over a specified date range. This is a great way to quickly assess the hours your team members work.

Whether you're an individual working on a project or a consulting agency needing to track various aspects of your project, you can itemize completed work via the timesheets report in seconds.

Preview the report or render it as a PDF, Microsoft Excel or CSV file. You can also view it offline. If you need to go even further, you can export timesheet data. Here's more information on how to generate a timesheet report.

The timesheet report is an effective way to assess planned versus actual hours worked, hourly rates, planned versus actual resource costs, baselines and so much more. As the image above reflects, simply check the columns you want to include when generating a timesheets report to customize the data. You can also group the data by project, person or date.

Use the timesheets report to transfer your data into another software such as Quickbooks or your preferred payroll software. Or, If you have an informal relationship with some stakeholders who can benefit from this report, you can quickly generate it and send it to them so they can see how much they owe.

Finding tasks where no hours were logged

Not everyone on your team may diligently log their hours in the software. If team members fail to enter hours on specific tasks, you can run this report for "no time recorded" to find the missing timesheets. In this case, you'll only see the project, person, date and individual hours columns while all other columns are hidden.

Project Tasks Report

If you need to understand project costs unrelated to resources, use our project tasks report. This is a great way to itemize specific tasks for your project invoicing, allowing you to analyze the work done on tasks and get extensive details. For invoicing, this is a useful report for comparing your invoice data versus your original project estimate to share with stakeholders.

Run a task report for your project of choice to see all task data such as planned vs. actual costs in case your client cares about details. You can also include milestones and summary tasks and filter by task status. The project tasks report offers more in-depth details compared to the timesheet report.

Project Status Report

Export data from the project status report is ideal if you only want to see the costs and hours from a particular project. In addition to providing a detailed overview of the status of your project, it indicates the status of milestones and summary tasks. The summary information includes data such as workload, effort, schedule, budget and costs, depending on what you want to populate.

Exporting Data for Invoicing

If you solely need raw data for invoicing, you can export timesheet data directly from the software. Navigate to the Gantt chart or Sheet view for the project you wish to export. Click the "Export" icon in the ribbon.

Determine whether you want tasks or timesheets data and choose your preferred format; Microsoft Excel, .MPP, .XML or CSV. You can also set up custom columns depending on the data you want to include. 

After you export your data and format it, you can import the Excel or CSV file into your preferred invoicing system.

Integrating With Third-Party Apps for Invoicing

If you want to integrate ProjectManager directly with another invoicing software such as Quickbooks, you'll have to build an integration with Zapier or our API.
