Project Files: Creation & Management

Store, share and search for project files directly in the software and download them as needed

 

The files page houses all project files and attachments in one centralized location. 

  • Files can be downloaded, renamed, deleted, shared and moved.
  • Create security permissions to restrict or give access to files.
  • Global search makes it easy to find a specific file across all projects.
  • Organize files by creating file folders and subfolders.

Files can be added to task cards across all project views. The files page will update with added files in real time.

My Files and Project Files Limits

Depending on your edition, there are file uploading limitations.

  • Team edition customers can add up to 5GB of files
  • Business edition customers can add up to 25GB of files
  • Enterprise edition customers have unlimited file storage

Accessing the Files Page

The files icon is accessible when you are on the "home" menu view. Click "home" under the ProjectManager logo and then click "files."

On the left, you'll see a files menu to stay organized.

The My Files page contains files:

  • Directly uploaded to this page
  • Added as an attachment to a non-project task
  • Shared by another team member

Uploading Files

If you add a file to a project task or comment, it will automatically be added to the project files page. Likewise, if you add a file to a non-project task, it will automatically be added to your My Files page. Feel free to manually upload files to the files pages as well.

To add a file to the page, click the "Drag and drop or browse" box under the attachments section on the task card or drag and drop files directly to the task card. You can also add files in the Gantt view by selecting a task and clicking the paperclip icon in the top menu. Once uploaded, you'll see your file appear on the files page.

You can organize your project files by adding folders and subfolders and restricting access to specific file folders.

File Actions

Access the file menu by clicking the three ellipses to the right of a file or by clicking the icons at the top of the screen when a file or multiple files are selected.

  • Rename: You can rename your file. This will change the file name across the project.
  • Share: You can share a specific file with another user. You don’t have to give a user access to the project to share the file.
  • Download: You can quickly download the file to your computer. You can also download all your files by clicking the checkbox at the top of the page and selecting “Download.”
  • Move: You can move a file into a folder or to the trash can.
  • Delete: You can permanently delete your file. These options are also displayed when selecting the menu to the right of each task. You can also delete all your files by clicking the checkbox at the top of the page and selecting “Delete.”
  • Search files: You can easily search from all your uploaded files by typing the file name into the search bar.
  • File folders: To organize files, you can create folders and subfolders on the files page. You can add as many folders and subfolders as you want. You can even add a folder to a subfolder and then a folder to that subfolder and so on. Files can be dragged onto the files page and from folder to folder.

File Permissions

All users with project access can see the folders on the files page unless access is restricted. By default, all folders and subfolders are public. Users with access to the folder will see the list of members who also have access to the folder.

To restrict or give access, click the three ellipses and click, “Make it private.” If a user has access to the folder, an open lock icon will appear to the right of the user's name. To restrict access, click the lock icon so that it becomes a closed lock icon.'

If a folder is already locked, click the lock icon to give access. If a user doesn’t have access to the file folder, they will see the file attached to the task but can’t view or download it. Any user except collaborators can lock or unlock the folder.

Files uploaded directly to your My Files page are not visible to other users in your account. Use the Share menu option if you would like to provide access to others on their My Files page. 

Preview Files

You can preview image files by clicking on the file. Once clicked, the image file will open without downloading the image.

Sharing Files

You can easily share a project file with another user. Right-click on the file and click the share button. You can share it with one or multiple people at a time and add a note. You can also copy and paste the URL to share it with them directly.

Adding a File Directly From a Task

Add files to comments, the task description or as an attachment within a task.

Gantt

On the Gantt, highlight the task and click the paperclip icon. You can choose to add a file directly from your computer. If you turn on the Info column next to the Export button, the paperclip icon will appear.

List, Board and Calendar

On the List, Board and Calendar, click on a task card, upload the file, or drag it to the files section. You can also add a file while adding a comment or task description.

Task Comments

On the Gantt, list, board and calendar, you can add a file as part of a comment. Type the comment and drag a task or click the paperclip icon.

Deleting a File

Only the person who creates the project plan can delete files that other users uploaded. Users added to the plan can only delete the files they upload and not other users' files, regardless of project role.

Other users cannot delete files from a user's My Files page.
