AI Privacy & Security FAQ

Our AI is built with privacy, compliance, and security at its core. This FAQ outlines how we protect your data, the limits of AI insights, and the safeguards behind responsible use.

How does your AI handle my project data?

Our AI works with your project information to provide insights, but your data remains private and protected. We don’t use your data to train public models, and it never leaves our secure environment. Our AI only analyzes the specific projects you select, when you select them.

Is my data shared with your AI provider?

We use Cohere, a trusted enterprise AI provider, to power certain features. Your data is transmitted securely and is not stored or used to train Cohere’s models. Cohere operates under strict enterprise security and compliance standards, which you can read more about in their security overview.

How do you protect privacy and comply with regulations?

Our AI services are built on the same privacy and compliance foundation as the rest of our platform. This means:

  • You retain ownership of your data.

  • We only process data to deliver the services you’ve requested.

  • You can request deletion or export of your data at any time.

  • We follow global privacy laws such as GDPR and CCPA, and are SOC 2 compliant.

  • Customer data is stored in secure US data centres and does not leave that region.

What are the limitations of AI insights?

AI is a powerful tool, but it’s not perfect. Keep in mind:

  • Output quality depends on the clarity of your input data.

  • Responses may sometimes be incomplete or require correction.

  • AI suggestions are designed to support, not replace, your judgment.

  • Always review outputs before relying on them for business-critical decisions.

What is your acceptable use policy for AI features?

AI must be used responsibly. You should not input unlawful, offensive, or harmful content into your projects in an attempt to misuse AI features. AI functionality is governed by our broader Acceptable Use Policy and misuse may lead to termination of access.

Can I control who in my organization uses AI features?

Yes. AI features are only available to project managers (not editors or collaborators), allowing you to choose who has access. In the future we plan to offer more control via custom roles. If you would prefer to disable AI features completely please contact support.

How do you stay transparent about AI in your product?

We clearly label AI-powered features and disclose the providers we partner with. Documentation like this FAQ, our AI Usage Guide, and our Trust Centre provide visibility into how AI is used. You have the option to disable AI features if that better suits your organization. As AI capabilities evolve, we’ll continue to share updates and best practices.
