Standard Integration Benefits

The Standard integration is ideal for customers who are using the Acumatica platform for managing everyday operations and have the Time & Expenses module, but not the Project Accounting module. The Standard integration syncs important task, time, resource and project information between Acumatica and ProjectManager to increase visibility of activities and deadlines within Acumatica. 

The Standard version offers key insights in multiple areas of the Acumatica platform, as well as a distinct view accessible via the Acumatica Menu just for ProjectManager Project and Task data. You can:

  • View a list of Projects and their data
  • View Project Plans in detail
  • See Task Hierarchy 
  • See Task Details
  • Spot Overdue Tasks
  • Sync TimeCards and Approval Status
  • Sync Project-level data like Customers, Status and more
  • Sync Resources and Employees

Professional Integration Benefits

The Professional integration is ideal for customers using the Acumatica platform and the Project Accounting module. The Professional integration includes all the capabilities of the Standard version. Still, it offers support for key cost and budgeting data, including planned and actual resource cost, planned and actual task cost, and project budget. 

It also supports the editability of task data in Acumatica, extending the visibility of Standard. This allows you to update task data like planned and actual start & finish dates, task progress, task status, task assignments and more. 

The Professional version embeds the ProjectManager data in the Project Accounting module, so you can:

  • View & Manage ProjectManager Projects
  • Update Project Costs and Budgets
  • Update Critical Task information
  • Manage Task Costs
  • Manage Resource Costs
  • Keep project costs in check
  • Automate Task Updates & Approvals

ProjectManager Views in Acumatica

Use the Main Menu to navigate to the “ProjectManager” tab to view all the options available with the integration. 

Projects List (Standard)

The Projects List is a point of navigation for all your synced projects. View your projects and their project-specific details like Status, Description, Planned Start & Finish Date & Budget. Clicking on the Project Name takes you into the Project Details view.

Project View Panel

This panel allows you to drill into the details of each project and update key facts about the project like Budget, Description, Customer, Charge Code and more. From here you can also navigate to the project in ProjectManager to easily manage the project in another window. 

Clicking “View Project Plan” takes you to the hierarchy view of the Project. You can also click the Project Tasks and the Plan View icons for snapshot views of each from this panel.

Projects Detail (Standard)

Similar to the Project View Panel, this Detail view offers Project editing capabilities. Plus, you can navigate through the tabs in the bottom section.

Project Detail - Tasks View

The Tasks view inside of each Project gives you rich Task details, as well as the Task Hierarchy or Work Breakdown Structure (WBS). You can see at a glance the following details:

  • Task name
  • Summary
  • Status
  • Parent task
  • Planned start date
  • Due date
  • Planned effort
  • Planned duration

Global Tasks View

Get a list of all the tasks across all your projects in one simple view. From the ProjectManager Menu, select “ProjectManager Tasks” under the Profiles section for easy one-click navigation.

Overdue tasks are highlighted in Red so you can spot them easily in this view. All the other task data is also visible in this view. 

Click the “My Tasks” tab to drill into tasks that are assigned to you.

Resources/Employees

PM Resources can be mapped with Acumatica “Employees” to keep important resource information up to date in both systems. On the Employees (Resources) view, you can see the list of all the Employees in Acumatica and their associated PM Resource Name, along with other Acumatica data like Employee ID, Time zone, Department and Supervisor.

Customers

PM & Acumatica Customers can be synced as well. Once you define the customers you want to sync, you can view and manage those in the Customers View.

Timecards

Time activities like hours added on tasks in ProjectManager can be synced to Employee Time Cards in Acumatica, once your Resources and Employees are mapped. In the Time & Expense Module in Acumatica, you can drill into Time Cards and Approvals entered in ProjectManager to track and manage them in Acumatica to support ease of approval and billing.

The ProjectManager Maintenance view allows your implementation team to configure the integration.

Entities Mapping 

The Entities mapping maintenance screen allows for visibility and configurability into how the ProjectManager data is synced. You can configure directionality, mapping inclusion, and get an audit trail of the last set of changes made on each entity. 

The Standard version has pre-programmed default settings and mappings to optimize the integration data syncing. The Professional version can be customized with your implementation team’s support.

Syncing Task Data in Acumatica

From the Projects Detail view, you can use the Ellipses Menu to force sync the integration and choose Synchronize To ProjectManager or Synchronize From ProjectManager.
