Managing Your Storage

Understanding Your Limits:

• File Count: Standard users can add up to 5 files per inventory item
• File Size: Standard (10MB max), Gold (25MB photos/docs, 200MB videos)
• Total Storage: Standard (100GB), Gold (1TB)

When You Approach Storage Limits:

• TORY will warn you when approaching your storage limit
• You will be prompted to upgrade when trying to add files that exceed your plan limits
• Consider upgrading to Gold for enhanced storage and features

Data Hierarchy

TORY organizes your assets in this structure:

Locations (Properties you own, lease, or manage)

• Primary Residence
• Secondary Properties
• Storage Units
• Business Locations
• Vehicles

Inventory Items (Individual assets)

• Furniture, Electronics, Art, Jewelry, etc.
• Each item can have multiple photos, documents, and details

Best Practices:

• Start by setting up your main location (this is likely your primary residence)
• Add items, assign them to locations, and set item spaces, categories, and even custom tags for better organization
• Use consistent naming conventions for easy searching

How TORY Calculates Your Net Worth

What’s Included:

• Only items and locations logged in TORY and marked as “Owned” and “Active”
• Leased/Mortgaged items do NOT increase net worth
• Archived items are removed from net worth calculations

Valuation Priority Order:

TORY uses the first available value from this hierarchy:

For Inventory Items:

1. Current Appraised Valuation
2. Current Valuation
3. Replacement Price
4. Appraised Valuation
5. Purchase Retail Value
6. Purchase Price

For Locations:

1. Current Valuation
2. Purchase Price

Understanding Net Worth Changes

The % Percentage Change Indicator shows your wealth tracking over time:

• Daily: Change from yesterday to today
• Weekly: Change from previous 7-day period to current week
• Monthly: Change from previous month to current month
• Yearly: Change from previous year to current year
• 3/5/10 Year: Long-term wealth tracking
• Lifetime: Total change since your first logged items

Important Notes:

• Values are currently based on your manual entries
• Automatic market valuations, appreciation, depreciation, and amortization valuations are planned for future releases

Best Practices for Item Documentation

Photo Guidelines:

• Take photos in good lighting
• Capture multiple angles, especially for valuable items
• Include close-ups of serial numbers, signatures, or unique features
• For large items, show the item in context within the room

Video Guidelines (Gold users only):

• Keep videos under 100MB
• Focus on key details and condition
• Narrate important features or history
• Consider quarterly video walkthroughs of entire locations

Valuation Tips:

• Research current market values for similar items
• Keep receipts and appraisals as documentation
• Update valuations periodically for accuracy
• Consider professional appraisals for high-value items

When to Archive Items

Archive items when they are:

• Sold or donated
• Lost, stolen, or damaged beyond repair
• No longer in your possession
• Temporarily removed from active inventory

What Happens When You Archive:

• Items are removed from your active inventory
• Net worth calculations exclude archived items
• Items remain searchable in archived section
• All documentation and photos are preserved, but may take a little while to retrieve

To Archive an Item:

1. Open the item details
2. Tap “Edit”
3. Change status to “Archived”
4. Select Archive reason
5. Save changes

Importing Your Existing Inventory

To Import Data:

1. Request the import template through the app via Settings > Import/Export Inventory > Get Import File Format
2. Download the .xlsx template from your email to your device. TIP: This works best from a desktop in Microsoft Excel
3. Fill out the template with your inventory details taking care to use the approved format
4. Save the file to your mobile device’s “On my iPhone” location. This works best by either emailing the file to yourself and accessing from your mobile device or using a shared file storage location that you can access from your desktop and mobile device.
5. Upload the completed file through the app’s import feature via Settings > Import/Export Inventory > Import Now
6. Importing may take a few moments depending on the file size, TORY will render a confirmation once import is complete. You can also see the details via Home Page > TORY Icon: Notifications as well as via Settings > Activity, where you will see that the records were imported.

Import Tips:

• Follow the template format exactly
• One row per inventory item
• Use the importing function to create shell records quickly and add asset detail and media files over time

Exporting Your Inventory

Current Export Options:

• Full inventory export to Excel (.xlsx format)
• Media files delivered as a zip file
• Sent to your registered email address

Export Process:

1. Go to Settings > Import / Export Inventory
2. Tap “Get Exported Data”
3. Check your email for the Excel file and media zip

Export Best Practices:

• Export regularly as personal backups after major updates
• Keep exports secure as they contain sensitive personal information
• Use exports to collaborate with professional advisors in support of insurance claims, estate planning, relocations, or legal proceedings

Data Backup Recommendations

As IT and data integrity professionals we believe in multiple levels of redundancy. TORY utilizes industry best practice data storage, disaster recovery replication, and security standards. However, no system is completely fail-safe and we cannot guarantee our ability to recover your inventory records if you accidentally delete your records or account. As a result, we recommend a client level regular back up schedule as another layer of data archival.

Regular Backup Schedule:

• Export after significant inventory additions or updates
• Quarterly exports for active users
• Before major life events (moves, insurance claims, legal proceedings)
• Annual comprehensive backups

What You Can Share

Individual Item Sharing:

• Select specific item details to share
• Choose which photos, videos (TORY Gold users) and documents to include
• Select the specific attributes of information shared (value, location, etc.)

Sharing Methods:

• SMS/Text message
• Email
• Other standard Apple sharing options

Privacy Notes:

• Shared content is permanent once sent
• Only share sensitive information with trusted individuals
• Consider removing valuation attributes when sharing for non-financial purposes

Your Data Protection

Security Features:

• All customer and sensitive data is encrypted using AES-256 encryption at rest.
• For data in transit, encryption is enforced using TLS 1.2/1.3 protocols across various services. 
• Secure email-verified account creation via email OTP for account security
• Enterprise-grade security standards throughout the platform

Data Ownership:

• Your data belongs to you – TORY is just the steward
• No data selling – TORY does not sell your personal information
• Account deletion available at any time with complete data removal

• Use a strong, unique password for your TORY account
• Keep your registered email address secure
• Log out on shared devices
• Report any suspicious activity immediately

Common Issues

App Performance:

• Close and restart the app if experiencing slowdowns, screen distortion, or feature loading challenges
• Ensure you have adequate storage space on your device
• Update to the latest version for optimal performance

File Upload Issues:

• Check file size limits for your plan
• Ensure strong internet connection for uploads
• Try uploading files one at a time if experiencing issues

Sync Problems:

• Force close and restart the app
• Check your internet connection
• Log out and log back in to refresh sync
