ToolboxAI – AI Tools Directory SaaS

Toolbox AI SaaS is a comprehensive extension for the ToolBoxAI theme, enabling you to transform your AI tool directory into a fully operational SaaS platform. With Toolbox AI SaaS, you can offer AI-powered services directly to your users, manage subscriptions, monetize your offerings, and provide a seamless, professional experience for both end-users and developers. Before you attempt to install or purchase the SaaS, kindly ensure that your server fulfills the following requirements.

• Log into your WordPress dashboard
• Navigate to Plugins > Add New
• Click on the "Upload Plugin" button and select toolbox-saas.zip
• Click Install Now
• Click Activate

ToolboxAI SaaS supports free and/or paid accounts with different levels of benefits for AI tool directory users. Depending on your business model, you might need the following diagram in order to understand the logic behind the SaaS platform.

ToolboxAI SaaS has multiple modules included in the core.

1. Modules Downloader

If you purchased an Extended license or benefited of a Intro Offer, you surely know that you can download our SaaS addons for free. To do this you have to:

2. AI Tools Importer

ToolboxAI comes bundled with one of the most interesting features so far. AI Tools Importer. The place where you can turbo-boost your website with 7-12k AI Tools (and counting).

To access the AI Tools Importer module, you have to:

1. Purchase a license from Envato Marketplace – Any license (Regular or Extended)
   • Regular License: Your Regular license will allow you to import 7k (7.000) AI Tools
   • Extended License: Your Extended license will allow you to import 12k (12.000) AI Tools

The next step: Go to Toolbox.AI Tools -> AI Tools Importer

Click the Fetch & Import ALL AI Tools button and the process will start:

3. Report AI Tools

Users and visitors can report listings from the website using the integrated report tool feature. To report a tool, access the single page of a listing and you'll see this report button:

What it collects

• Your Name – so the team knows who submitted the report.
• Your Email – for follow-up questions or status updates.
• Reason for Reporting – choose from: Inappropriate Content, Spam, Harassment, Impersonation, Copyright Violation, or Other.
• Additional Details – a free-text explanation of the issue.

What happens next

After submission, you’ll see a confirmation message if the report was received successfully, or an error message if something went wrong. Admins cand Solve the reports and take action (for example, remove a reported listing) or just delete the reports. All in one admin dashboard place.

4. Claim Ownership of an AI Listing

Users can now claim the ownership of the listing. The ownership will give you access to:

• Metrics – Page views and data insights of the AI Tool.
• Manage info – Add, change or remove details (description, FAQ, Pros, Cons etc).
• Owner badge – The item will gain popularity as it will receive the Verified Owner shield badge.

Step 1 - User: Claim an AI Tool using the Claim this Tool button

Step 2 - User: Only logged in users can apply.

Step 3 - User: If logged in, fill in the details.

Step 4 - User: Add real information to make sure that you are trusted by the admin.

Step 5 - Admin: Approve, Reject or mark the claim as Pending.

By approving the Claim you will also approve these actions:

• Verified Owner badge – on tool's page, user dashboard and search results.
• Tool Author Change – The original author of the tool (we call it contributor) will be replaced and the new user will be able to edit the tool in their account.

5. Allow Sponsored Tools

Create pricing plans that includes spots for tools to be advertised on a top bar navigation and/or as a sponsored spot on homepage, category and search pages.

• Enable to show the "Sponsored Tools" in a top bar. – This bar is visible on every page of the website and can allow multiple tools that runs as a carousel
• Enable Sponsor Spots – Display 4 random sponsored tools on homepage, category and search pages.

Step 1 - Admin: To allow sponsored tools, edit the pricing plans and add numbers into the new fields.

Step 2 - User: Purchase a pricing plan that includes spots for Top Bar and/or Sponsored Spots. Check the Sponsored Tools tab from My Account to select the tools and the placement.

Step 3 - Admin: By going into the admin dashboard > Sponsored Tools, accept sponsored to appear by checking the Show/Hide box for each sponsored tool. Remove tools that expired or spam.

Step 4 The sponsored tools will be displayed by the spot placement

• Top Bar – above the header, in a top bar with a carousel.
• Sponsored Spots – Discovery page, single tool pages and the Sponsored Tools widget elementor.

6. Pending Changes (Edit Review)

The Pending Changes module adds an approval workflow for tool edits. When a non-admin user edits their tool listing, the changes won't go live immediately — instead, they're saved as a draft and sent to the site admin for review. This ensures that all public tool data is vetted before being published.

Where to find it: The module is built-in and always active. Admins manage pending edits from Toolbox.AI Tools → Pending Changes in the WordPress dashboard.

How It Works

Step 1 - User: Open any of your published tool listings and edit any field (description, pricing, pros/cons, etc.). When you click Save, instead of your changes going live immediately, you'll see a confirmation message: "Your changes have been submitted for review. They will be applied after admin approval."

Step 2 - User: Go to My Account → My Tools. Tools with pending edits display a yellow "Changes Pending Review" badge next to the title, so you always know which tools are awaiting approval.

Step 3 - User: If you open the edit form again while changes are still pending, you'll see a warning notice at the top: "You have changes pending review. You submitted changes on [date] that are awaiting admin approval. If you save again, your pending changes will be updated."

Step 4 - Admin: In the WordPress admin, go to Toolbox.AI Tools → Pending Changes. You'll see a list of all submitted edits with the date, tool name, who submitted it, and the current status. Use the filter tabs (All / Pending / Approved / Rejected) to sort through them.

Step 5 - Admin: Click the "View Changes" button to open a modal that shows a side-by-side comparison of the current live values vs. the submitted changes. Each field that was modified is listed with its old and new value.

Step 6 - Admin: After reviewing, click Approve to publish the changes to the live tool listing, or Reject to discard them. The status will update in the table and the user will see the result on their dashboard.

7. Compare Tools

The Compare Tools module lets your visitors compare up to 4 AI tools side by side. Users can pick tools from anywhere on the site using a floating comparison panel, then view a detailed comparison table on a dedicated page. It's a great way to help users make informed decisions.

Where to find it: The module is built-in and always active. A "Compare" button appears on every tool's detail page, and a floating panel follows the user as they browse.

How It Works

Step 1 - User: Visit any tool's detail page. You'll see a Compare button (with a compare icon) in the action buttons area, next to the Like/Favorite button. Click it to add the tool to your comparison list.

Step 2 - User: A small toast notification confirms "Added to compare". The button turns blue to show this tool is selected. A floating panel appears on the right side of your screen (or bottom on mobile) with slots for up to 4 tools.

Step 3 - User: Browse to other tool pages and click Compare on each one you want to include. You can add up to 4 tools total. To remove a tool, click the X button on its slot in the floating panel.

Step 4 - User: Once you've selected at least 2 tools, the Go button (checkmark icon) in the floating panel becomes active. Click it to open the comparison page.

Step 5 - User: The comparison page displays all selected tools in a side-by-side table. Each row compares a specific detail across all tools:

• Category – The tool's assigned categories
• Description – Short description of the tool
• Pricing – Price or plan information
• Website – Link to the tool's external site
• Last Update – When the tool was last updated
• Monthly Visits – Traffic statistics
• Pros – Listed with green icons
• Cons – Listed with red icons
• Attributes – Custom attributes grouped by category (e.g., Features, Integrations)

8. Editor's Picks

The Editor's Picks module lets site admins handpick and rank their favorite AI tools for any time period — weekly, monthly, or yearly. Curated picks are displayed on the frontend via an Elementor widget with tabbed navigation, giving your visitors a trusted "best of" list managed entirely by you.

Where to find it: Navigate to AI Tools → Editor's Picks in the WordPress admin panel.

How It Works — Admin Panel

Step 1 - Admin: Go to AI Tools → Editor's Picks. At the top you'll see three dropdowns: Year, Period Type (Week, Month, or Year), and Period Number (specific week or month). Select the period you want to curate picks for.

Step 2 - Admin: Use the Search tools input to find AI tools by name. As you type, a dropdown shows matching results with the tool logo and title. Click on a result to add it to the current period's picks list.

Step 3 - Admin: Your picks appear in a ranked list below. Each item shows its rank number (#1, #2, etc.), the tool logo, title, bookmark count, and a Remove button. Drag and drop items using the grip handle on the left to reorder the ranking. The new order is saved automatically.

How It Works — Frontend Widget

Step 4 - Admin: Open the Elementor editor on any page and search for the "Toolbox SaaS: Editor's Picks" widget. Drag it onto your page. In the widget settings, you can configure:

• Max Tools per Period – How many picks to show (default: 10)
• Default Tab – Which tab is active on load: This Week, This Month, or This Year
• Style options – Customize tab colors, card backgrounds, borders, and title colors

Step 5 - Visitor: On the frontend, visitors see three tabs: This Week, This Month, and This Year. Clicking a tab loads the curated picks for that period via AJAX. Each tool card displays the tool logo, name, description, tags, bookmark button, and view count — the same card layout used across the site.

Step 6 - Visitor: The top 3 ranked tools display a gold, silver, or bronze medal badge next to the card. Tools ranked #4 and below show a plain number badge. This helps visitors quickly identify the top picks at a glance.

Tip: You can link directly to a specific tab using URL hashes: #week, #month, or #year. For example, yoursite.com/editors-picks/#month will auto-open the "This Month" tab.

Tip: The same tool can be picked across different periods. For example, a tool can be #1 for Week 9 and #3 for February — each period has its own independent ranking.

Note: If no picks have been added for the current period, the widget will display a "No picks for this period yet" message. Make sure to curate picks regularly to keep the widget content fresh.
