Title: Service Writer

Description: Position Summary **Support the activities and operations of the shop service desk; prepare documents necessary for the activities and operations of the fleet division including invoices and work orders; assist vendors and customers with invoice and fleet inquiries; maintain the data information systems for the Department and perform a variety of technical tasks relative to assigned areas of responsibility.** _Job descriptions are intended to present a general list of tasks/duties performed by employees within this job classification. Job s are not intended to reflect all duties performed within the job._ Essential and Supplemental Functions **ESSENTIAL FUNCTIONS:** Essential functions may include but are not limited to the functions listed below. Must be able to perform the essential functions of the job with or without a reasonable accommodation. 1. Assist with the activities and operations of the shop service desk including the collection, verification, input and distribution of vehicle maintenance related information. 2. Prepare documents necessary for the activities and operations of the fleet division including invoices, work orders, processed work orders, for payment, payroll work sheets and electronic timecards. 3. Assist vendors and customers with invoice and fleet inquiries; authorize the use of outside vendors and repairs; assist mechanics in obtaining vehicle information. 4. Perform office related duties in support of the division including records maintenance, processing and retrieval. 5. Perform data entry of labor transactions, commercial repair transactions, vehicle warranty information and transaction credits. 6. Maintain and review computer data for validity and accuracy through the reconciliation of reports; prepare periodical or other reports as required. 7. Maintain lists, logs, records, files and data; compute charges and post information to summary lists, logs and records. 8. Conduct inventory control procedures including inventory of fleet equipment and parts. **SUPPLEMENTAL FUNCTIONS:** 1. Train personnel on computer operations as required. 2. Perform related duties and responsibilities as required. Minimum Education, Experience And Additional Requirements **_Education directly related to the minimum requirements below may be substituted for experience on a year for year basis._** High school diploma or GED; _ **and** _ Three (3) years of experience maintaining, processing and retrieving records and preparing reports within a fleet management operation **or auto/truck repair facility.** **ADDITIONAL REQUIREMENTS:** Possession of a valid New Mexico Driver's license Possession of a City Operator's Permit (COP) within 30-days of hire. Working Conditions **Environmental:** Office environment within vehicle maintenance shop; exposure to noise, dust, grease, oils, fuel and exhaust fumes. **Physical:** Essential and supplemental functions may require maintaining physical condition necessary for walking and standing for prolonged periods of time.
